Site Administrative Receptionist - Amherst, NY / Contract Only Position

DESCRIPTION:Â

The incumbent will provide administrative and clerical support as directed to meet site objectives. Incumbent may also be assigned additional duties as directed, including, but not limited to order processing and scheduling.Â

PRINCIPAL RESPONSIBILITIES:Â

Provides front-desk coverage and serves as the first point of contact for all visitors, contractors and other external callers.Â

Provides daily administrative support/functions, including but not limited to managing phone calls, managing visitor traffic, order processing/scheduling, processing invoices, tracking purchase orders, sorting mail, scheduling meetings, managing conference room schedules, shipping/receiving support, access control, processing work requests and generating work orders.Â

Assists departmental staff with scheduling third-party services, verifying work order service tickets, and confirming invoice accuracy before approval.Â

Supports department meetings and event functions by reserving and preparing meeting rooms.Â

Creates security access badges.Â

Maintain a clean and orderly work area.Â

Follows site safety rules and promotes their observance in performance of job duties.Â

Performs other work-related duties as assigned.Â

REQUIRED QUALIFICATIONS:Â

High School DiplomaÂ

3-5 years of administrative and/or Customer Service experienceÂ

Must have excellent communication (written and verbal) and customer service skillsÂ

Must be detail-oriented and able to read and interpret company policies, procedures, and guidelinesÂ

Strong time-management and organizational skillsÂ

Must be proficient in Microsoft Office software (Word, Excel, PowerPoint, Outlook)Â

PREFERRED QUALIFICATIONS:Â

Front desk receptionist experienceÂ

Proficiency in SAP platformsÂ

Shipping & Receiving and/or mail-room experienceÂ

Experience working in a 5S and safety-conscious environment

PART-TIME (10:00am-2:00pm Mon-Fri, May have additional hours during the construction peak season - June, July & August) Pay: $13.00/hr Extension undetermined at this time Previous office experiences with PC skills preferred, Heavy interaction with internal and external people on the phone and in-person. Must be professional and personable. Must have strong work ethic. Must be reliable with good attendance and committed to the role.
