POSITION SUMMARY

This positions primary responsibilities are to assist the office staff in daily office functions and to provide general office support to all departments within the company. This position is primarily responsible for executing a high level of customer service, appointment scheduling and must be diligent in constant communication with customers. In addition, this position is responsible for executing and maintaining various fiscal tasks and records within office software such as Microsoft Outlook and CRM database.

PRIMARY DUTIES

Answer and route phone calls to appropriate departments.

Check voice mail throughout day and return or direct calls as required.

Schedule and confirm appointments for all phases of projects including estimates appointments from various sources including incoming phone calls, website submissions and email inquiries. Daily follow up on new leads.

Answer web-based inquiries; from company website and other lead generators.

Scheduling estimates according to specific area locations and having knowledge of WNY and surrounding areas.

Update various Excel spreadsheets (and databases) as necessary.

Research, mail and maintain records of all leads.

Perform light housekeeping duties as needed; wipe table after weekly lunch meeting, trash, coffee mugs etc.

Clerical tasks/data-entry as needed, such as marketing promotional material prep, job folder creation and miscellaneous entering of lead/potential customer information with CRM.

Greet customers as they enter Cortese showroom, offer beverage and assist as needed.

Willing to learn about all products and services that we sell “ background in general remodeling a plus.

EDUCATIONAL/EXPERIENCE REQUIREMENTS

Previous experience with in person and phone-based customer service, scheduling (knowledge of surrounding area for logistics of scheduling appointments), QuickBooks/OneNote experience is a plus, Microsoft Office experience is required (specifically Outlook), CRM software knowledge (MarketSharp/Salesforce) a plus. Lastly general office/clerical-admin support experience is required. Must be able to multi-task and perform well under pressure. General Construction industry experience not required but extremely valuable.
