The Operational Excellence (OE) organization is a newly formed group within the EO&T organization that will be focused on implementing a global framework to reduce operational risk and increase straight-through-processing (STP) across the firm. The organization is responsible for defining, deploying, driving alignment and progress against a firm-wide framework that reduces risk, speeds up execution and reduces defects. The team’s focus is delivering business functionality - balancing efficiency, risk and client experience across the firm, streamlining operations by automating processes from beginning to end, reducing manual touch points, and creating leaner processes across the firm.Summary:This position will provide support to a MD of Operational Excellence based in New York, NY as well as back up support to the Head of Operational Excellence who is headquartered in Delaware but spends portion of her time per month in NY. Some duties are complex and confidential requiring the use of discretion and good judgment. Incumbent within this role must be proactive and comfortable communicating with all levels of management within the Firm.Responsibilities:
Provide administrative support to a senior-level executive and team
Impeccable management of dynamic, busy calendars through Outlook, including understanding Executive's priorities to effectively manage calendars
Coordinate all aspects of executive level appointments, meetings, receptions and conference calls / video conference / Live Meeting for multiple time zones
Coordinate frequent travel arrangements that require additional stops
Prepare, reconcile, and track expense reports on a timely basis and accurately enter through T&E system
Manage and assist in ad-hoc reports and special projects as needed often requiring independent discretion and follow up
Organize and secure highly confidential company and employee information
Handle incoming calls and be able to exercise independent discretion when responding to inquiries
Excel at multitasking (organizational skills), to handle multiple and competing demands with tight deadlines
Assist with creation/modification of presentations, spreadsheets, and other various documents
Screen managers inbox and flag emails that require immediate attention
Work with the team to ensure their requests are addressed
Order supplies and process invoices through P2P system
Prioritize manager’s requests when competing requests arise and advise accordingly
Technical Skills
Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint)
Ability to gain a strong command of new systems (P2P, Citi Travel & Expense)
Non-Technical Skills
5-10 years’ experience as a senior-level assistant
Excellent organizational skills and expert in prioritizing and multi-tasking.
Proactive and anticipatory with ability to prioritize and manage multiple high volume, high-priority and fast-paced deliverables
Strong problem solving with ability to get things done
Flexible in shifting priorities and schedules
Extremely detail- oriented with strong follow-up and with capacity to work independently, efficiently, and as a self-starter
Strong interpersonal and communication skills (verbal and written).
Demonstrates a high level of integrity and professionalism
Energetic, responsive team player with the interest to take initiative and work in a fast-paced environment
Professional presence and ability to engage with internal and external constituents
Proven ability to work well with others
Ability to work standard business hours and be flexible for overtime as required
College degree or equivalent preferred
