Position Summary:We have an exciting opportunity to join our team as a Faculty Group Practice Supervisor. In this role, the successful candidate We have an exciting opportunity to join our team as an Administrative Support Supervisor. In this role, the successful candidate will be responsible for providing administrative oversight of front end staff. Offers strong organizational skills, is an innovative and creative problem solver and able to work successfully and independently. In addition, in conjunction with the Faculty Group Administrative Practice Managers, develops policies and procedures, implements new processes (help to accomplish quality of care and patient access goals, as well as develop training/education programs and implement reporting mechanisms) and monitors compliance to established guidelines.

Job Responsibilities:

Supervises clinical Staff Associates and Front Desk at the Manhattan CSC location.

Supervises staff with responsibility for all personnel related activities, with the authority to hire, evaluate, discipline and terminate.

Delegates assignments efficiently and monitors them through completion, defining expected outcomes and time parameters to employee. Distributes assignments equitably and allocates resources appropriately. Establishes unit administrative procedures to be followed on on-going basis.

Creates office staffing schedules and ensures they meet the needs of the practice by reviewing and approving staff vacation schedules, developing alternate coverage plans during staff absences, identifying staff associates capacity for taking on new clinicians and assigning other responsibilities as required.

Authorizes attendance, schedules, and sick time changes.

Ensures appropriate cross-training and cross-coverage for all practice administrative activities. Acts as back-up coverage as needed.

Assists in training office personnel for front-desk, reception, and billing activities.

Establishes office procedures and communicates responsibilities and expected performance to staff.

Resolves employee issues and addresses procedure and performance related issues.

Assist the Practice Manager with oversight of the faculty practice facility. Order and maintain par levels for supplies and equipment.

Meets routinely with billing coordinators to review current tasks and assignments. Assists in establishing priorities, and allocating resources as needed to support operations.

Attends meetings, prepares minutes and participates on committees as requested.

Maintains accurate, well-organized, up to date files for retrieval of needed documentation.

Receives, compiles, classifies, reconciles and consolidates data from varied sources.

With FGP Administrative Practice Managers, monitor weekly charge submission volume, daily cash, incomplete charges, collection reports, refunds, etc. Develop dashboard to track these indicators and conduct routine meetings with the staff to discuss the results of these indicators and redirect staff efforts as needed.

Compiles daily statistical data as requested and reports data monthly to appropriate parties.

In coordination with the Administrative Manager, oversees One Park meeting room reservations and daily posting of meeting room schedules

Provides patient support facilitating the resolution of patient experience escalations including but not limited to MyChart, ROI/medical record requests, billing, care and overall customer service as needed.

Recognizes routine problems and recommends suggestions, ideas and solutions.

Determines and establishes the explanation to complex calls, issues and questions not covered by specific instructions or common practice.

Resolves all complaints and problems using independent judgment and decision making skills, to ensure patient satisfaction and adherence to faculty practice standards.

May be asked to perform other varied functions.

Minimum Qualifications:To qualify you must have a To qualify you must have a Bachelors Degree with a minimum of 1-3 years of relevant work experience or equivalent combination or training and relevant work experience. Knowledge of physician billing and coding. Ability to work in a fast paced multi-physician practice environment. Good communication, interpersonal and computer skills. Ability to develop and maintain effective working relationships with physicians, staff and patients.Qualified candidates must be able to effectively communicate with all levels of the organization.
