Asheville based counseling private practice seeks part time administrative assistant/ scheduler.

This is a telecommute position- with an occasional meeting/ tasks in the office.

Requirements/ Duties:

Organized, computer proficient/ savvy, and quick learner of new programs. Prepared, timely, flexible, and a work ethic with integrity and honesty.

Some knowledge or experience of counseling and therapy. You will be returning phone calls of potential clients and will need to know how to speak with empathy, kindness, and be able to communicate some basic understanding of the therapists personal style, and other information.

Essentially this means you are the first line of contact a new client will have- so your professionalism, your integrity for confidentiality, and your basic people skills will be paramount. This also means you will help to screen potential clients to see if they are a good fit. If they are, proceeding with scheduling initial sessions, and if they are not, providing them with appropriate referrals.

Respond to phone and email communications in a timely manner. We will work out a schedule that works for both of us. This means you do not always have to directly answer the line, but can schedule time for call backs. For example, you may schedule a block of time each day where you return voicemails and respond to emails. You do not have to answer the phone directly when it rings, but you will be given a phone line to be used only for this purpose.

You will need a private space without distractions when responding to client calls. You will also have to sign a confidentiality agreement and your profile will be listed on the website as the admin assistant so clients can feel comfortable when it is you responding to them instead of me.

You may also be asked to research resources for clients, or follow up with an email to a client providing them with said resources. This might include books, community resources, etc.

I (the therapist) also manage a closed network group for other therapists on Facebook which you would help assist in the admin duties. (Screening posts, providing info, screening member requests).

At some point the job may also entail small errands and/ or help in the actual office. (So your own reliable transportation necessary. You will be able to track your mileage for reimbursement of gas). This would only be occasionally.

A home computer and internet (and savvy use of it) is necessary as all scheduling calendars for clients are online. You will be helping to manage this schedule.

Depending on how well things are going, you may be asked to assist with online filing of insurance paperwork for clients. (This would help add hours if youre interested in them).

For the right person, the hours and responsibilities (and pay) will quickly grow to include more creative aspects- assisting with marketing, including being in charge of social media updates, online presence, managing the blog, etc.

I am a stickler for proper grammar in any correspondence- including email - - and any time you speak on behalf of the practice and me you are expected to be timely, kind, courteous, and professional. A personal interest in wellness/ personal development and therapy is also a plus.

To start- this job is only about 10 hours a week. This may potentially increase if you're interested. There will also be a probationary period with an initial rate of $11/12 hour for 2-3 weeks as we get adjusted and ensure performance is meeting standards and you are comfortable with the job. After the probationary period, and everything is going well, I am happy to discuss increasing the rate.

Hours are relatively flexible depending on your schedule, but once we agree on that schedule, that is what will be expected of you. (For example, 2 hours of work in the evening followed up by either an email or phone report of said work accomplished). We will meet for a few times at the office to help you get comfortable and learn about me and the practice, and vice versa. After that most of the work you can do from home!

Note- if you are a psychology or counseling student you may be able to get internship credit.
