What will I be doing? Organizes and oversees all tour group arrivals/pre-assigned groups to ensure total group satisfaction. Ensures that all guests are confirmed and specific accommodations are pre-assigned, and all requests for special accommodations are met daily. Handle pre-arrival emails, VIP's, and special guest requests. Answers and dispatches telephone calls. Maintains call logs and ensures guest satisfaction through follow up calls. Resolves guest challenges throughout their stay in our Hotel, and provides prompt and courteous service to meet Company's high standards.

Essential Functions:

  • Ensure all group resume details have been properly updated in OnQ PMS and communicate any key points to the Front Desk team
  • Weekly update of the group board in the Front Office
  • Ensure all arriving VIP's have updated and accurate information in OnQ PMS (i.e. Arrival, departure, spelling of name, special requests, amenity requests, VIP status and turndown request)
  • Check suite distributions and comp rooms as noted in group resumes
  • Make sure all group billing and reservation notes are accurate
  • Daily management of Nor1/Estandby Upgrades
  • Daily Management of E-Check-in website and ensure all reservations are prepared for arrival
  • Daily reconciliation of group/transient no-shows and post charges based on recommendations of groups Event Manager or Front Office Manager
  • Assist with daily balancing of hotel room inventory
  • Assist with managing 3 rd party reservations including booking of any unconfirmed reservations found through hotel extranet website, ensure accurate receipt set-up and proper notations are made in OnQ PMS
Additional supportive job functions of reservations:

  • Handling guest phone calls associated to group reservations
  • Assist frequent Business Travel guests in setting up long term reservations
  • Assist the Events team with changes to their group reservations
  • Assist with special requests for groups such as pre-assignments or specific room location requests
  • Print rooming lists from OnQ R&I for Events Managers
  • Assist with building groups in OnQ PMS/R&I and entering rooming lists
  • Use OnQ R&I to monitor and modify inventory in group blocks when needed
  • Use Passkey to set up group blocks and group links
  • Set up billing for group rooming lists
