Green Card, a medical practice is seeking excellent applicants for the position of Trusted Care Advocate (TCA) has a passion for helping patients, and for the benefits of Medical Cannabis. Applicants should be knowledgeable about the healthcare industry and about proper interaction with patients. Illicit drug use is absolutely prohibited.

The TCA will answer phones, make calls, help gather patients medical records, greet and room patients. The Trusted Care Advocate is responsible for high quality patient customer service, adding patient information to the Ohio Medical Marijuana Control Program registry, maintaining confidential and HIPAA compliant paperwork, and overall upkeep. TCAs also maintain accurate records of patients identification and registration documents, manage scheduling patient traffic flow, answer phones and respond to patient inquiries. They also maintain an organized and clean environment in the clinic facility.

CORE JOB DUTIES

Customer Service and Record-Keeping:

Welcome patients as they enter the clinic.

Provide exceptional service for all patients, answering any questions they may have and providing brief orientations when needed.

Obtain the appropriate documentation from each patient at every visit, including but not limited to medical records, ensuring validity of their identification and registration with the state of Ohio.

Record each visit using appropriate software, ensuring accuracy of patient information, and recording notes if necessary.

Respond to and resolve patient requests, complaints, or compliments in person, through email, and on the phone, requesting supervisor support as soon as it is needed.

Maintain organization of desk space, exam rooms, common areas, bathrooms, and waiting room through daily upkeep and light cleaning.

Documentation:

Prepare documents as needed to assist patients in registering with the State of Ohio Medical Marijuana Control Program.

Ensure all patient files are current and required documentation is on file and follows all guidelines issued by the state of Ohio.

Maintain patient database through entering new patients, adding or removing membership, updating changes in information, scheduling appointments and updating patient registration status.

Maintain caregiver paperwork in accordance with the state of Ohio, maintain tracking in system and communicating changes to physicians.

Communicate with employees to update online and physical pamphlets as needed.

Coordinate with the Operations Manager for office supplies as needed.

Responsible for outgoing and incoming mail distribution and ensuring post office box is collected daily.

ADDITIONAL DUTIES AS REQUIRED

Help patients prepare online forms and documents.

Route media calls to the appropriate manager immediately (NEVER GUESS or comment, unless expressly authorized to do so).

Assist managers with research, communications, or any other assigned projects or tasks.

Comply with Green Cards current policies and procedures and applicable state and local laws.

Typing skills are mandatory.
