Job Description
This position is responsible for performing various Accounts Payable functions and miscellaneous accounting related tasks for the Administrative Services Department, ensuring the accuracy and timeliness of these transactions. The incumbent has primary responsibility for performing these functions with direction from the Administrative Services team members. The incumbent will maximize the capabilities of the administrative services personnel, keeping in mind that the overall goal is to make sure that our customer, Tireman Auto Service Centers, have the most accurate and efficient information to make the necessary business decisions.
Accountabilities:
Perform the daily data entry of Accounts Payable invoices in an accurate and efficient manner after proper authorization has been given.
Perform the reconciliation of vendor invoices to ensure proper authorization exists and proper accounts have been assigned prior to processing for payment.
Verify extensions, price, quantity, and select best discount and payment terms.
Resolve differences with the appropriate vendor, store manager and purchasing department.
Work diligently on all assigned duties in order to achieve the standard of closing Accounts Payable by the 3rd business day of each month.
Maintain well-organized and efficient departmental files so that pertinent information is readily accessible.
Provide efficient, courteous service to all company personnel and respond to telephone calls, email, and questions in a courteous, timely, and friendly manner.
Assist other administrative office team members as requested by the Accounting Supervisor or Controller in times of demand or for vacation coverage.
Develop an open, candid relationship with the Accounting Supervisor so that all matters of mutual concern can be discussed freely and dealt with properly and constructively.
Requirements:
High School degree or equivalent (College degree a plus)
Minimum 2 years experience in a progressive office environment
Experience in computer data entry and Microsoft Office, especially Excel is essential
Must demonstrate initiative and independence of action in performing the responsibilities of the position
Must be able to present a competent, efficient manner in dealing with the various levels of company personnel
