Job brief
We are seeking a responsible Administrative Assistant to perform a variety of administrative, receptionist, and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
Responsibilities:
Answer and direct phone calls
Maintain filing system
Create customer profiles in QuickBooks
Prepare customer invoices
Assist when needed entering customer orders
Assist when needed preparing reports for office staff
Order office and general supplies
Assist office staff with any additional help as needed
Running errands as needed
Potential Additional Responsibilities (for the right candidate):
Assist Business owner with the following:
Manage schedule, including meetings and appointments
Manage executive email correspondence: handle routine communications, prioritize and ensure prompt
responses, and provide summary briefings of more complex subjects
Schedule projects and track progress of contributors
Organize and prepare agendas for company meetings
Gather information and fill out compliance, legal, and financial forms
Conduct small-scale research projects and summarize findings
Requirements:
Proven experience as an administrative assistant or similar
Knowledge of office management systems and procedures
Working knowledge of office equipment
Proficiency in MS Office
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Knowledge of QuickBooks a plus
