JOB DEFINITION:

The Assistant/Field Custodial Supervisor is responsible for assisting the Custodial Supervisor in supervising and leading the District’s custodial program and operations. The Assistant/Field Custodial Supervisor will assure that the cleaning and preventative maintenance of all District facilities meets proper safety and health standards. Ensure that all custodial services are efficient and timely, that custodial supplies are properly stocked and utilized and that all custodial personnel perform at prescribed standards. The employee in this role will also ensure that all custodial equipment is maintained and updated. The Assistant/Field Supervisor will lead the department training and staff development process. This employee may perform custodial duties as needed.

NATURE AND SCOPE OF WORK:

This position requires superior communication and human relation skills, which are necessary in the training and supervising of the District’s custodial staff through direction, guidance, and motivation.

ESSENTIAL JOB FUNCTIONS:

In coordination with the Custodial Supervisor, plans, directs, and reviews the work of employees assigned to the Custodial Department

Thoroughly inspect facilities for cleanliness, quality assurance, and safety compliance.

Monitor custodial performance and make corrective actions as necessary.

Establish and monitor satellite custodial supply inventories at each facility, coordinate custodial supply requests, and approve all custodial supply orders.

Establish equipment maintenance protocol and ensure custodial equipment is in safe and reliable running condition.

Assist in the management of the custodial budget.

In coordination with the Custodial Supervisor adjusts work assignments and schedules to maintain adequate staffing levels and responds to fluctuating workloads.

Work closely with schools, principals and other staff on custodial related matters.

In coordination with the Custodial Supervisor establishes monitors and enforces District’s cleaning, sanitizing, and disinfecting standards.

Analyzes operations to improve efficiency and productivity.

Provides initial orientation to new employees

Reviews applicant’s credentials, participates in the interview process and hires staff.

Resolves personnel problems and complaints.

Exercises positive human relations skills to motivate employees.

Counsels employees in work related activities, personal growth and career development.

Responsible for the proper training, teaching and development of custodial staff.

Maintain a flexible schedule to work with and observe the custodial staff during all shifts in order to establish performance expectations and train custodial staff.

Contributes to the reduction of operating costs of the Custodial Department by analyzing cost of materials, equipment, and labor, and making recommendations to the Supervisor.

Conducts research, reads journals, attends workshops, courses and conferences to keep informed regarding developments in the field and industry best practices.

Understands and has the ability to implement best management practices.

Assist in writing and implementing department policies and procedures.

Assist in the enforcement of all safety rules and safety programs.

Perform other duties as assigned.

WORKING CONDITIONS:

The employee performs under extremely heavy workloads and inflexible deadlines. Employee must maintain a pleasant attitude with staff and the public at all times. Requests and issues are often received which require immediate attention, setting up conflicting priorities. Sound judgement is required in stressful situations. Work is performed both indoors and outdoors with exposure to hot and cold temperatures. Physical demands include sitting, walking, standing, and lifting objects up to 50 pounds. Will be expected to work a variety of shifts. Travel to district sites is required

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge:

Working knowledge of various cleaning equipment and supplies.

Knowledge of methods, materials, tools, and equipment used in custodial and maintenance work.

Knowledge of best practice to ensure a safe working environment for staff.

Knowledge of modern cleaning methods and preferred methods of cleaning and preserving floors, walls, and fixtures; tools, supplies, and equipment required in custodial work; cleaning materials, disinfectants, equipment used in custodial work.

Instructional techniques adequate to provide personnel training.

Supply and equipment procurement practices and procedures.

Use of computers and various related software.

Modern supervisory principles and practices including planning, scheduling, assigning, directing and evaluating work of staff and the application of human relations skills to direct and motivate employees.

Modern supervisory principles and practices including scheduling and reassigning work, developing budget requests for the cost center, prioritizing workloads and administering personnel policies and labor contracts.

Accounting and record keeping systems and procedures.

Understanding of building heating and ventilation, fire alarm systems, boilers, and building controls.

Skills and Abilities:

Skills in the custodial and building maintenance field

Operate commercial custodial equipment.

Must have excellent oral and written communication skills.

Ability to identify and correct work performance issues to ensure compliance.

Demonstrated leadership and management abilities.

Collect and analyze data to improve quality of systems.

Teach technical process in a clear understandable manner

Ability to supervise and motivate staff.

Ability to manage tense or confrontational situations.

Physical ability to perform the essential functions of the position.

Possess computer application skills in word processing, spreadsheet analysis and database management.

Ability to exercise good judgement and make decisions without definitive guidance or direction.

Ability to originate, plan, adapt and/or develop systems to accomplish tasks to be completed by employees or other staff when there is no precedent for and little help to carrying out these tasks.

The ability to communicate effectively, develop new programs and to think independently.

Plan, develop, direct and evaluate the activities of a large number of employees.

Develop short and long-range plans.

Obtain or possess a valid Oregon driver’s license and maintain an insurable status for automobile and liability coverage, as required by the position.

Maintain a high level of commitment to completion of all tasks.

EDUCATION AND EXPERIENCE:

Bachelor’s degree is preferred or any combination of education and experience that would provide the applicant with the desired skills, knowledge and ability to perform the job.
