The Receptionist serves as the first point of contact with clients/vendors and provides assistance to individuals by welcoming in person/answering the main phone line, responding to routine questions; directing visitors/callers to the appropriate party; and by providing general information where needed.
The Receptionist works from 1pm-5pm, Monday-Friday, and requires some flexibility to provide front desk-coverage outside of these hours. This is a long-term position and requires excellent attendance, as well as a friendly and welcoming personality. The Receptionist will occasionally run errands, so having a vehicle is a requirement of this position.
Essential Duties & Responsibilities:
Answer multi-line telephone, screen and direct caller to the appropriate party.
Welcomes visitors, direct them to sign in and notify the appropriate individual.
Offers solutions for clients/vendors when primary contact is not available.
Receives and signs for packages, sort and distribute company mail, prepare daily deposit.
Alphabetize and file packing slips.
Monitors and adjusts door/gate schedules.
Provide Door Key/Alarm code to approved individuals.
Ensures supervisors are informed when employees call in sick or are absent.
Distribute information regarding company-wide events and opportunities.
Maintains accurate record of petty cash/cash in transactions.
Responsible for keeping standard operating procedures related to position up to date.
Provide back up to administrative staff as needed.
Education& Experience:
High school diploma or equivalent
At least 6 months of customer service or office experience
Proven record of excellent attendance.
Knowledge Skills and other Abilities:
Effective written and oral communication skills
Telephone etiquette
Customer service skills
Experience with MS Office Suite
