Records Management Contractor Position - Remote or Hybrid Essential Functions • Coordinate with Sr. Records Management Analyst and PJM's Office of General Counsel to implement and optimize search criteria within OpenText's Content Server and other repositories in support of legal hold requests and productions • Perform configuration and maintenance of application settings to meet business and records management requirements • Support the day-to-day front end administration activities of OpenText's Content Server, OpenText's Email Monitoring, Outlook Email Management, and other applications as assigned as it related to Records Management and user administration • Ensure appropriate level of controls are applied to work efforts such as security requirements or permissions to ensure delivery of compliant, effective business solutions • Document, track and resolve problems in assigned business systems, working closely with administrators, vendors and IT • Work with personnel to ensure that records stored in assigned applications are in alignment with PJM's Record Retention Schedule Standard, and update system settings based on personnel feedback. • Have responsibility for some functional deliverables other than application code (requirements documentation, test plans, communications plans) • Assist project management team and department management in developing work plans, including scope, milestones, schedule, resources and deliverables as needed • Participate in system testing efforts as needed • Act as a point-of-contact for the organization for enterprise applications, including: • OpenText's Content Server, OpenText's Email Monitoring, Structured Publishing, Axcelerate, AnswerModules, other applications as assigned • Assure that document procedures are in place to accurately classify, securely maintain, and schedule for appropriate document destruction according to established retention guidelines approved by the Law Department. • Serve as the liaison to all departments to provide direction and advice, including specific department retention lists based upon PJM's retention schedule or regulatory requirements. • Create policies and procedures to ensure appropriate document handling that supports the retention schedule. •

• Provide support to third party document conversion service and coordinate timely and effective scanning procedures. • Partner and build rapport with PJM employees at all levels of the organization to support and monitor specific activities of the function. • Support Legal with eDiscovery needs relative to records management, collection and case assembly. • Provide support to Internal Audit for audit preparation and remediation if applicable. • Provide document owners with awareness and education sessions regarding retention practice and process. • Develop reports or status updates to the EIM Steering Committee or other PJM leaders with changes and updates as needed. • Document customer and / or system requirements for department projects.

Responsibilities specific to the administration of

Controlled Documents: • Provide support for manual owners, authors, SMEs and others to follow processes and implement timely revisions to manuals as identified either as part of the stakeholder process or general business practice utilizing PJM's editing/publication tool • Perform as subject matter expert for the manual editing tool and manuals process; act as liaison between users and PJM technical and vendor support to resolve problems and identify opportunities for new functionality • Work closely with ITS and Security to ensure efficient and accurate updating and retention of NERC CIP policies, procedures and standards. • Develop and/or edit communication materials including but not limited to user guides, presentations, talking points, FAQs, screen shots, handouts and desk drops

Required Skills and Abilities Description

  • Bachelor's Degree in Business or related field preferred with an emphasis in information management, records management, library sciences, internal control and/or business administration. Past records management experience acquired through business curriculum, or completion of a paralegal training program and two years of office experience, or an equivalent combination of education and experience.
  • Past experience performing a records management role which includes records inventories, retention schedules, filing systems, filing equipment, micrographics applications and records management techniques. Demonstrated knowledge of state and federal regulatory requirements relating to retention and storage media for records and information. Demonstrated ability in using databases, spreadsheets, word processing; strong analytical and organizational skills.
  • Demonstrated ability to communicate effectively in writing and orally to create and to explain policies, procedures for completing the essential functions.
  • Demonstrated ability to present the materials to the Executive, Management and General Employee groups.
  • Ability to work in cross-functional teams.
  • Professional, flexible demeanor focused on time-management.
  • Proven ability to work with minimal direction, maintain focus and motivation while working with routine and repetitive tasks.
  • Ability to remain courteous and effective while under pressure.
