Job ResponsibilitiesCareers at DHEC: Work that makes a difference!Pursuing Excellence, Inspiring Innovation, Promoting Teamwork, and Embracing ServiceUnder supervision of the Lead Administrative Assistant, performs a variety of clerical and customer service duties in support of the Preventive Health program. Duties will be performed in a culturally competent manner and within Agency customer service guidelines. Reasonable independent judgment is required in the application of office procedures and program guidelines. Will maintain oversight of timely, correct completion of PH Billing and monitor efficient clinic flow. Provides training to PH Admin staff on new processes and conducts administrative audits of PH charts.Performs all Administrative duties required to provide Preventive Health Services to authorized clients within the state. Includes: Completes intake and out-take of patient data, utilizes program data systems and email systems, conducts Medicaid eligibility interviews and applying clients for Medicaid if applicable. Completes insurance eligibility and documentation. Provides quality customer service in a culturally competent manner in face-to-face and/or telephone encounters and maintains client confidentiality ensures official DHEC forms are placed in the proper chart order in accordance with DHEC policy. Interviews clients per clinic guidelines, establishes client record and retrieves/returns charts to medical records./HIPAA requirements.Bills Medicaid, Private pay and other third party billing systems. Financially screens all clients appropriately. Collect payments daily if applicable. Prints cash drawer total daily in accordance with DHEC policies and clinic procedures. Maintain correct change fund balance.Submits PCAS and other required program reports monthly or by designated deadlines. Completes required trainings in a timely manner.Participates in an emergency or major disaster to expedite services to the public as outlined in the DHEC/Region Disaster plan. During such time, the incumbent should regard her/himself as being on 24-hour call and subject to duty when such events occur, or are anticipated to occur.Maintains oversight of timely, correct completion/submission of PH billing. Other duties as assigned.Minimum and Additional RequirementsState Minimum Requirements: A high school diploma. Related clerical experience may be substituted for a high school diploma.Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.Agency Additional Requirements: A high school diploma and two years of administrative office experience, or an associate degree in secretarial science or a related field and one year of experience, or three years of clerical experience.Must have the ability to type at a corrected rate of 35 wpm. Must be proficient in the use of windows based computer programs. Must have the ability to plan and organize work activities and prioritize task completion according to schedules and goals. Must have the ability to communicate effectively, both verbally and in writing with customers and coworkers. Must be able to exercise good judgment, discretion and confidentiality in dealing with the public and answering customer's questions. Must possess and present a congenial and caring attitude and personality.Employee must be able to lift a minimum of 30 lbs.and stand for long periods. Must have current driver's license; use of personal vehicle is required. May require weekend/late, early/alternate hours from the standard work week. (M-F:8:30-5:00).
