Logistics and Planning Coordinator (HR) (Job Number: 1902031)DescriptionThe Talent Acquisition team, within the Compensation and Talent group, and a key function within the Vanderbilt University Human Resources department is seeking an engaged and highly motivated Logistics and Planning Associate to join the team.Talent Acquisition is an ambitious and enthusiastic team that manages the overall process of attracting and selecting talent for staff and professional positions at Vanderbilt University, with a focus on creating and shepherding a world-class experience for our candidates and for the hiring managers with whom we consult. The team fills 1,400 positions annually for a variety of roles ranging from service, skilled trades, and administrative support staff roles, to professionals in research, student and academic affairs, athletics, IT, business services, public safety, leadership, and more.Duties and responsibilities

Assist faculty, staff, candidates, and managers in effectively navigating compensation and talent-related processes and activities including but not limited to navigating the search process and leadership onboarding, ensure deliverables are completed accurately and in a timely manner, assist stakeholders (faculty, staff, students, applicants, prospects, etc.) in locating resources both online and off, and researching and responding to departmental queries with a customer-focused approach and attention to detail.

Track progress, deadlines, and priorities of events, meetings, presentations, conferences, and related logistics focused efforts, projects, and operational activities; review, create, and disseminate related reports and queries; establish and maintain systems, both physical and electronic, for materials, documents, files, and records, including reports, logs,and correspondence; assist with maintenance of records, interview documents, survey data, and other related materials, etc.

Schedule and manage appointments, seminars, meetings, and conferences; maintain appointment calendar and make travel arrangements for candidates; develop and executive on meeting and event plans and strategies and effectively execute on such plans and strategies.

Approach work activities with an eye for identifying existing and new solutions while maintaining an acute attention to detail; support, develop, and use problem-solving capabilities necessary to accomplish the duties and tasks of this role while displaying a comfort for change and a flexibility in work-style and approach; utilize strong organizational and multi-tasking abilities to work across functions within the team, effectively partner with HR leaders and colleagues, and consult/support university departments and stakeholders; demonstrate ability to effectively prioritize work and consistently meet often time-sensitive deadlines related to employee start dates, survey and data submissions, event/meeting development and booking and scheduling, and the completion of related processes and services.

Ability to maintain confidential information regarding faculty, staff, and candidate information ranging from compensation details, background check information,personal details (e.g. social security number, age, home address, etc.), and other data in order to establish trust and maintain confidence with our stakeholders, customers, and colleagues both in and outside the human resources office.

Provide correct, complete, and understandable information in both verbal and written communication to a wide range of constituents in order to facilitate recruitment and compensation processes and actions; assist in answering questions from applicants, employees, supervisors and others including faculty, administrators, staff, and students, including the interpretation of policies and procedures as appropriate with a focus on creating clarity and understanding.

Profile of an Ideal Candidate

Experience providing administrative or program support in a professional office environment is necessary.

Strong customer service skills with the ability to work and communicate with a diverse group of clients and colleagues are necessary.

Demonstrable technology skills with a high level of familiarity with Word, Excel, and PowerPoint is necessary.

Experience with social media and digital outreach support is necessary.

Demonstrable experience in the planning and execution of meetings, events, or conference management is necessary.

Attention to detail and ability to multi-task is necessary

Professional experience working in higher education is preferred.
