As the Site Manager & Administrative Assistant, you will support the Allen Texas office and the VP of Customer Service Operations. You will perform diverse administrative functions requiring confidentiality, initiative, thoughtfulness, and follow-through. Duties to include but not limited to:

Maintain office files and records in accordance with internal procedures.

Receive and refer visitors and telephone callers.

Open and distribute mail. Respond with form letters to routine requests.

Type routine letters and memoranda from specific instructions.

Assemble relevant data, and compile information, as directed.

Maintain appointment calendars.

Coordinate meetings and associated logistics. Make travel arrangements.

Respond to routine requests for information and refers more complex requests to appropriate staff member.

May utilize automated systems to access information and generate standard or ad hoc reports.

Draft and type routine letters and memoranda from specific instructions.

May assist in new employee on-boarding including securing workstations, equipment, office supplies, access authorizations, and business services.

Prepare presentations from specific instructions.

Communicate and/or coordinate principal’s instructions or desires to various individual’s and/or departments, and furnishes and obtains information from other principals or outside representatives.

Organize and maintain VP of Customer Service Operations correspondence and records, following up on pending matters with limited direction.

May transcribe dictation, often of a highly technical and/or confidential nature.

Drafts correspondence for VP of Customer Service Operations final approval.

Organize and prepare complex documents requiring the integration of multiple office technology and software applications. May act as the office resource for word processing and spreadsheet application.

Create and track purchase requisitions / purchase orders
