Our dynamic and growing company is in the accounting, tax and advisory industry. We provide services to individual and business clients and are looking for a dedicated Office and Accounts Receivable Manager to join our team, focusing on client communication, tax return processing, invoicing, scheduling and overall office operations to ensure smooth daily activities.

Key Responsibilities:

Client Communication: Serve as the primary point of contact for clients, providing excellent service via phone, email, and in-person interactions. Maintain strong relationships with both existing and new clients.

Invoicing & Billing: Prepare and manage client invoices, ensuring timely and accurate processing. Follow up on outstanding payments and assist clients with billing-related queries.

Office Operations: Manage daily office operations, including scheduling, coordinating meetings, handling office supplies, and maintaining office systems.

Documentation & Reporting: Maintain organized records, billing and collections.

Coordination with Teams: Collaborate with other team members to ensure smooth workflow and support various administrative functions as needed.

Requirements:

Proven experience as Office Manager, Administrative Assistant, or similar role with a focus on client communication and invoicing.

Strong verbal and written communication skills with a customer-oriented attitude.

QuickBooks software and MS Office Suite (Excel, Word, etc.) preferred - we will consider training for an exceptional entry level candidate who is eager to learn and demonstrate that ability after a 2 week training period.

Excellent organizational skills, with the ability to handle multiple tasks simultaneously.

Attention to detail and a proactive approach to problem-solving.

Strong interpersonal skills with the ability to build positive relationships with clients and team members.

Ability to handle sensitive and confidential information with discretion.

Preferred Qualifications:

Experience in office management and accounts receivable. Tax office experience a plus!

Knowledge of QuickBooks a plus.
