The Business Associate III is responsible for coordinating and participating in the process of payroll, maintaining necessary files and processing paperwork regarding new hires, terminations, performance evaluations, promotions and transfers. Assist employees with personnel and payroll issues. Responsible for the administration DOT regulated Drug and Alcohol testing policy and procedures. Will act as backup regarding records retention. What you need to know

Time management, flexibility, meticulous organizational skills, attention to detail and the ability to work independently and collaboratively as a motivated self-starter are all preferred qualities which may enable success in this position. Persons in this position will be required to drive state vehicle to travel to various parts of campus and are considered essential when the University declares an emergency, campus closure, class cancellations, etc. The starting pay rate is $14.53/hr.

Required Education and Experience:

High School Diploma or any equivalent combination of education and experience

Five years of experience in general office, bookkeeping or personnel operations

Required Licenses and Certifications:

Valid driver license

Must be able to obtain State of Texas Class "C" vehicle driver license within 30 days of employment

Required Knowledge, Skills, and Abilities:

Working knowledge of spreadsheet and word processing software programs

Interpersonal and communication skills; basic planning and organizational skills

Ability to multi-task and work cooperatively with others

Preferred Education and Experience:

Associates degree

Five years of experience with the preferred education (Associates degree), including task management experience

Preferred Special Knowledge, Skills, and Abilities:

Previous experience with Texas A&M University (Workday, TrainTraq, SSO, etc.) and/or Payroll, HR experience

Responsibilities:

New Hire Processing -Â

Responsible for processing employees in regards to new hires, promotions, demotions, increases and terminations in both Workday and Kronos. Will work with, and follow up with, supervisors to ensure all actions in Workday are completed in a timely fashion. Obtain UIN numbers for new employees through UIN Manager and request NetIDs. Coordinate with Payroll Services on verifying previous state service and paperwork related to new hires and transfers. Register new employees with ISS and Glacier, if needed. Enroll employee biometrics onto time clock device.Â

Employee Processing -

Send vacation and sick leave letters to terminated or transferred budgeted employees.Â

Meet with employees to handle paperwork when processing in or out of the department. Ensure that all paperwork is complete and approved by appropriate administrators before filing in the appropriate personnel, medical, terminated or leave file. Handle new student employee processing appointments. With student new hires, explain how to navigate the departmental intranet and how to use the time and attendance system. Create documents to be placed on the intranet for employees who receive letters of appreciation. Send email to supervisors to prepare evaluation forms for all student employees, track progress and file final forms in appropriate file. Specifically for the Transit and Vehicle Maintenance Units, provide and explain CDL and Drug and Alcohol packets, on-line training to complete, etc.

Payroll -Â

Responsible for coordinating and participating in the process of payroll for the department to include: Monitoring the time and attendance system each pay week to ensure there are no missed punches, all full-time employees have no less than 40 hours and part-time employees have no less than their scheduled hours, all transfers to various project codes are correct, verify that employees and supervisors have approved time; and processing paychecks. ÂEnsuring that paperwork from this unit is correct before being forwarded to the appropriate administrators for approval, prior to filing or forwarding to another department for further processing. Reviewing the Student Employee Pay Plan Hours report for increases and processing appropriate paperwork. Setting up new employees in Time & Attendance program including adding new positions. Audit leave requests in time and attendance system.

Drug and Alcohol Administration -Â

Prepare and verify monthly drug and alcohol list containing names of those required to be randomly tested due to DOT regulations. Verify and maintain required consent forms and other documents in the appropriate files and provide HR and other appropriate entities with copies of appropriate forms for new hires. Coordinate with others to schedule processing of new drivers, mechanics and fuelers, distribute information and paperwork required by DOT. Relay pre-employment test results to appropriate personnel. Verify testing is completed each month. Coordinate all questions and issues with the HR Office.

HR Liaison -Â

Responsible for providing assistance and answering questions of employees, supervisors, manager and directors concerning payroll and personnel issues. Performs one or more HR/Payroll related duties and is annually evaluated on performance of those duties.

Administration -Â

Responsible for approving ID cards for full-time and part-time staff. Assist with verification of budget information related to payroll during the yearly budget cycle. Scanning personnel, training and medical files for budgeted, student and wage employees into FileNet and maintaining records accordingly. Will maintain Dual Employment forms and spreadsheet tracking all dual employment activity. Will grant door and building access.

Policy and Procedures -Â

Research and apply system policies, system regulations and university rules to ensure departmental compliance regarding payroll and personnel issues. Ensure that supervisors of the department follow proper policies and procedures.

Budgeted Hiring Process Backup -Â

Prepare and post full-time, part-time and student vacancy notices for the department. Coordinates full-time postings and required new hire paperwork with The Recruitment Office and posts student vacancies on Jobs for Aggies. Posts all openings on the departmental website and intranet. Assist supervisors with creating and updating position descriptions for posting. Once a candidate has been selected will coordinate a start date with the supervisor and HR Office.

Training Administration Backup -Â

Responsible for insuring appropriate training takes place for State Required Training (SRT). Run Train Traq reports and notify employees, and their supervisors, who are past due on training.

Persons in this position will be required to drive state vehicle to travel to various parts of campus and are considered essential when the University declares an emergency, campus closure, class cancellations, etc. Performs other duties as assigned.
