The Business Coordinator I is responsible for coordinating and participating in the process of payroll, maintaining necessary files and processing paperwork regarding new hires, terminations, performance evaluations, promotions and transfers. Responsible for FMLA, Workers Compensation and Sick Leave Pool issues. Employees are responsible for the following: maintaining 100% on time compliance with all university required training for all employees; approving time worked and requesting appropriate leave in a timely manner; reading and responding to e-mail; reviewing/reading information listed on the department intranet; performing assigned tasks in a safe manner and utilizing personal protective items/equipment as appropriate or instructed by supervisor or department; reporting unsafe actions or conditions to supervisor immediately and supporting and following unit/department safety guidelines, practices, and policies.

What you need to know

Persons in this position will be required to drive state vehicle to travel to various parts of campus for events/training where appropriate. Personnel in this positionÂare considered essential when the University declares an emergency, campus closure, class cancellations, etc.

Required Education and Experience:

Bachelors degree or equivalent combination of education and experience

Two years of related experience in general office, accounting, or personnel operations

Required Knowledge, Skills and Abilities:Â

Knowledge of word processing and spreadsheet applications

Interpersonal and communication skills

Planning and organizational skills

Ability to multi-task and work cooperatively with others

Required Licenses and Certifications:

Must be able to obtain State of Texas class "C" vehicle driver license within 30 days of employment

Preferred Education and Experience:

Experience processing and handling the responsibilities of FMLA, Workers Compensation, Military Leave, Sick Leave pool,Âand direct sick leave donations

Salary Range:Â$33,362 - $42, 868

Responsibilities:Â

Approve ID cards for full-time and part-time staffÂ

Ensure Budgeted PIN List are up-to-date at all times

Assist with verification of budget information related to payroll during the yearly budget cycle

Verify monthly drug test list for accuracy

Scan personnel, training and medical files for budgeted employees into Filenet and maintain records accordingly

Assist managers and departmental employees with their needs related to Family and Medical Leave Act, Sick Leave Pool and Parental Leave

Identify needs, meet with employees and supervisors, prepare documents, track usage and monitor employees leave balances

Manually enter leave cases, specifically FMLA, into time and attendance system

Coordinate with Human Resources with related questions

Assist employees with WorkersÂCompensation

Process First Report of Injury forms by verifying information for accuracy and completion; coordinate with Human Resources and track employees leave time if necessary

Update log when issue is resolved

Prepare Bona Fide offer letters when necessary

Audit leave requests in time and attendance system

Prepare and post full-time, part-time and student vacancy notices for the department

Coordinate full-time postings and required new hire paperwork with The Recruitment Office and posts student vacancies on Jobs for Aggies

Posts all openings on the departmental website and intranet

Assists supervisors with creating and updating position descriptions for posting and, once a candidate has been selected, coordinates a start date with the supervisor and HR Office

Responsible for processing employees with regards to new hires, promotions, demotions and terminations

Enroll employee biometrics onto time clock deviceÂ

Process appropriate Workday tasks in regards to new hires, promotions, demotions and terminations

Meet with employees to handle paperwork when processing in or out of the department

Ensure that all paperwork is completed and approved by appropriate administrators before filing in the appropriate personnel, medical, terminated or leave file

With student new hires, explain how to navigate the departmental intranet and how to use the time and attendance systemÂ

Send vacation letter to terminated employees

Create documents to be placed on the intranet for employees who receive letters of appreciation

Obtain UIN numbers for new employees through UIN Manager and request NetIDs

Coordinate with Payroll Services on verifying previous state service and paperwork related to new hires and transfersÂ

Register new employees with ISS and Glacier, if neededÂ

Send email to supervisors to prepare evaluation forms for all budgeted employees, track progress and file final forms in appropriate file

Run Train Traq reports and notify supervisors of employees with past due training

Complete all verifications and reference checks requested of current and former employees

Conduct departmental orientation sessions with all newly hired full-time employees of Transportation Services to include tours of departmental facilities and staff, review of departmental policies and procedures, etc

Coordinate and participate the process of payroll for the department to include:Âmonitoring the time and attendance system each pay week to ensure there are no missed punches; all full-time employees have no less than 40 hours and part-time employees have no less than their scheduled hours; all transfers to various project codes are correct, audit leave requests, verify that employees and supervisors have approved time; setting up new employees in time and attendance system, including adding new positions

Turn time into Payroll Services and processes paychecks; ensure that paperwork from this unit is correct before being forwarded to the appropriate administrators for approval, prior to filing or forwarding to another department for further processing; reviewing the Student Employee Pay Plan Hours report for increases and processes appropriate paperwork; verifies monthly pay calculations and distributes monthly paychecks

Perform other duties as assigned
