What You’ll Do

The Administrative / Operations Support Associate will play a key role in helping to keep our growing office and company running smoothly. You’ll be responsible for maintaining and managing our Dallas office – everything from onboarding new hires to planning our company outings. As the face of our office, you’ll be one of the first points of contact for visitors and clients. You’ll be the go-to person for questions from all directions – and if you don’t know the answer, you’ll know how to get it. The ideal candidate should have a keen eye for details and will ensure that nothing falls through the cracks, supporting many areas of the business. Below are some of the responsibilities that you’ll carry:

Office Management / Administration

  • Passion for and ownership ofour awesome office environment

  • Planning and coordinating office eventsand outings

  • Welcoming and assisting clients and visitors at the front desk

  • Booking occasional travel for team members

  • Ordering and facilitating meals for meetings and events

  • Tracking and analyzing office expenditures

  • Taking initiativeto build a strong culture and community within the office

  • Receiving and redirecting inbound mail and packages

Facilities Management

  • Serving as a liaison to the building management and local vendors

  • Managing and ordering office supplies as needed

  • Troubleshootingand maintaining our conference room equipment and work with the IT team to resolve issues

  • Purchasingfood and snacks for the office

  • Maintaining a high level of cleanliness in common areas and workspaces

Recruiting and Onboarding

  • Scheduling candidates for interviewsacross the company; greeting local candidates upon arrival

  • Coordinating new hire onboarding meetingswith local resources

  • Assisting new hireswith onboarding training

  • Filing new hire paperwork with E-Verify and the People Potential team

Requirements

  • Customer-focused approach which includes excellent verbal and written communication skills, being personable, and being focused on problem-solving

  • Success-driven attitude that prioritizes results

  • Supreme multi-tasker

  • Proficient with Microsoft Word, Outlook, PowerPoint, and Excel

  • Organized, accurate and very detail oriented

  • Proven ability to meet deadlines and complete assigned tasks in a timely, professional manner

  • Able to work productively with minimal supervision

  • Able to maintain confidentiality

  • Forward-thinking and outgoing personality desired

  • The type of person who would excel in this role is someone who has worked in and enjoys a less-structured, fast-paced environment, working with many different types of people in different disciplines.

Required Education

  • High school diploma or equivalent. Associate or bachelor’s degree preferred.
