Reporting to the Broker, the position of EXIT Receptionist is especially important, perhaps the most important, as the receptionist is the face of the entire company. This person will give the public their first impression of the brokerage. The ideal candidate for this position must have a cheerful disposition, be able to work well under pressure and possess excellent people skills. This individual would work under the direction of the Broker. The following are guidelines of the duties to be performed by this person
Have a clear understanding of the EXIT system.
Always present a professional image of the company both in person and on the telephone.
Answer all incoming calls and connect those callers to the person requested or take an accurate message. Ensure that all messages are delivered promptly and accurately. Always repeat numbers when on the line with callers to improve accuracy.
Retrieve and distribute messages from the answering service promptly.
Greet visitors to the office and provide them with refreshments if desired.
Retrieve and distribute any faxes promptly. It is good office policy to always notify an agent when a fax has been received for them.
Send reminders to sales associates regarding duty time and notify the Administrator if this time commitment is not met. Keep a log of all duty calls received and to whom they were distributed.
Announce birthday messages and other events as per company policy.
Distribute all incoming mail.
Process any outgoing mail making sure to record postage to be charged to associates. Notify Administrator when postage is low.
Remind sales representatives when mail has not been picked up within a reasonable amount of time.
Record and make appointments for showings. Review any appointments that may not have been completed by the previous shift and attempt completion.
Handle client relations correspondence.
Maintain the listing file system.
General administrative work for the Broker or Manager and Administrator
General administrative work for sales representatives. Remember that offers and related documents always take precedence over other administrative duties.
Make refreshments when necessary.
Keep reception area neat and take an interest in the decoration of the office during special times of the year.
Have a good understanding of how the various office equipment is operated and instruct new sales representatives in the proper use of the telephones, fax machine and photocopier. Monitor and maintain office equipment
Present a helpful attitude towards all sales representatives.
Report any negativity about the company or the EXIT system to the Office Administrator.
Organize conference and meeting room bookings,
Co-ordinate meetings and organize catering
Control inventory relevant to reception area and maintain the reception area
Education and Experience
high school diploma or GED
Preferred two years of college
knowledge of administrative and clerical procedures
knowledge of computers and relevant software applications
knowledge of customer service principles and practices
keyboard skills
