Job Summary: Provide general office services support to multiple administrative departments. Primary duties include copying documents, maintaining office supply stock, delivering mail, sending and receiving packages, storing and retrieving information and materials, entering and maintaining data in records database, backing up reception, working at special events, moving furniture and boxes, handling pickups and deliveries, and facilities coordination. Full-time, downtown Houston office, 9-6. 50-pound lifting requirement.

Key Responsibilities

- Perform all functions required for the timely and high-quality completion and delivery of copy requests, including using binders, folders, laminators, etc.

- Perform basic troubleshooting and maintenance on all equipment used within the copy room and throughout the firm

- Assist with technology setup in conference rooms

- Process all incoming and outgoing mail; perform other mail functions, such as mail fulfillment, which includes sorting, filing, packaging, and processing shipments for delivery to multiple locations. Use vendors such as FedEx, UPS, DHL, overnight courier service, etc.

- Maintain inventory of all items and supplies throughout the firm, and place supply orders for office personnel and to replenish inventory

- Prepare records and materials for retiring or shredding

- File and retrieve documents and records as requested, including communicating with offsite vendor

- Input new client matter information into records database

- Assist with boxing and moving materials

- Service and maintain onsite storage

- Provide assistance with moving within, into, or out of the firm

- Provide operations support for trials, including delivery and retrieval of materials, and gathering materials and setting up war room, for which occasional travel may be required

- Provide back-up to receptionist at front desk

- Assist with setting up and supporting special events

- Maintain accurate, complete, and up-to-date site procedure guides, forms, and logs

- Assist Operations Manager in offering suggestions for improvement of existing processes or procedures within departments

- Coordinate facilities requests including building and off-site parking, HVAC, building access, repairs and maintenance (water leaks to pest control)

- Special projects as assigned

Requirements

- High school diploma; some college or technical/business training preferred

- 3 years related work experience, preferably in a professional services environment

- Proficiency in Microsoft Word, Excel, and Outlook

- Good written and verbal communication skills

- Detail oriented, organized, and able to prioritize, multi-task, and work well under pressure

- Professional, polite, and positive client-centric attitude

Physical Demands

This position requires frequent standing, bending, twisting, extensive walking, and lifting up to 50 pounds, including moving furniture. Will frequently use the phone to communicate with attorneys and staff. May occasionally move within the office to use office machinery or deliver packages or communicate with others.
