We seek a spirited and poised administrative assistant for a busy cosmetic surgery practice in Sugar Land, TX. Our practice is 100% cosmetic surgery and the successful applicant will be working for a highly trained, Board-Certified plastic surgeon. Ours is a polished, professional environment with friendly co-workers and pleasant patients. The office is spacious and beautiful and makes an enjoyable workplace.

This position entails being the main person managing client flow through phone and face-to-face contact. You will be responsible for the client-service experience from initial phone contact to the post-operative period. You must be able to multi-task calmly. Plastic surgery clients can be demanding, and you must be able to handle conflict and stressful situations professionally and pleasantly. Trustworthiness is critical; this position involves sensitive private medical information and managing money and financial transactions. A background check is required for all potential employees.

Willingness and ability to learn are valued more highly than healthcare-specific experience. This position is a mix of customer service and sales, in that you will be discussing cosmetic surgery with new patients. The surgeon and staff will teach you what you need to know to be a great plastic surgery admin, but we expect the applicant to be pro-active in learning about the field independently as well. You must be able to effectively educate prospective patients to gain their trust and encourage them to come in to see our surgeon.

The ability to use social media effectively is a big plus. You will be expected to use social media to aid in marketing the practice. We hope that you will become part of our team approach to marketing and planning promotions, open houses and other events.

Job Duties:

Manage phone calls, arrange appointment scheduling

Welcome patients into the office and ensure their comfort

Use computerized patient records and keep information accurate and updated

Learn about a vast array of surgical procedures and options

Educate patients about cosmetic surgery

Assist in scheduling of surgery with facilities and in the office

Help patients with scheduling their surgery and related paperwork

Keep the office organized and supplies stocked

Assist clinical staff in stocking of surgical supplies

Situate patients into consultation rooms and create a relaxing atmosphere

Required skills:

Be punctual and have reliable transportation

Maintain a professional appearance at all times

Comfortable with various social media platforms for marketing

Have excellent customer service skills and phone etiquette

Be comfortable dealing with demanding customers in a calm manner

Be willing to admit mistakes and to ask questions
