Scope of Position

Department Manager leads the department to achieving flawless operational execution, developing a strong and reliable team infrastructure, technical expertise, knowledgeable and promotable personnel; which enable risk to be assessed and managed through focus on Compliance, Operations, Customers and Systems in adherence to the company’s policy and procedures, efficiency, profitability, and continual growth. Supports our Vision and Mission Statement, making our promise real to all our employees and customers

Key Deliverables

Proactively monitor the following key metrics to achieve the expected results:

Employee Satisfaction

  • Timely & valuable EPEs & PDP every 12 months.
  • Timely & valuable 1:1s every 3 months.
  • All team members to complete 52 hour training per year (4.33 per month).mandatory training timely.
  • Servant Leadership mindset. Use team feedback to adapt and maximize the leadership quality and impact (Yearly Direct Report Survey).

Operational Performance

  • Perform consistently at the highest level (Product OPA Audit Result)
  • ADS - Within 48 hours of ADQ
  • IDMA – 95% files audited per month
  • IDMA – 95% files audited within 48 hours of AUT or AUR
  • IDMA – AUA within 48 hours of AUE

Administration and Personnel Management

  • Exemplify and Teach Our Culture, Mission and Goals.
  • Follow the 10 Critical Success Factor and the ‘What’s Expected of a Manager’ guidelines.
  • Ensure that department is properly staffed, structured and organized and interview regularly.
  • Ensure all needs and tools required are available for the Department to be successful in all areas.
  • Engage with team members daily, conduct check-in meetings regularly assisting them with ongoing feedback, coaching and mentoring.
  • Be visionary as it relates to managing staff, processes and tools to be able to handle volume spikes, growth locally or supporting other branches.
  • Own your self-development. Prepare, follow-up and execute on your personal development goals.
  • Build healthy cross-functional relationship and work environment, promote team spirit and cohesiveness in the department.
  • Ensure that company controls, policies, procedures, processes are understood and complied with.
  • Ensure daily huddle meetings take place and Supervisor meetings weekly.
  • Support all Employee Satisfaction initiatives.
  • Establish execute and update department TBP, goals and expectations and monitor the progress.

Compliance

  • Effectively manage and monitor service execution within the Compliance department, leading and assisting our relentless pursuit of efficiency and operational excellence:
    • Performance Management: Ensure oversight, including self-assessments and daily, weekly and monthly performance monitoring so that issues (root cause) are resolved proactively.
    • Exception Management: Review all exceptions to drive efficiency internally (controlled) and through interacting with our customers (uncontrolled).
    • Map and understand department process flow, constantly looking for areas to improve efficiency to offer customers better cycle times, service while improving margins.
    • Actively participate in the optimization of systems and tools and continuously improve the efficiency, productivity and quality of the service. Set the tone of this environment within your department.
  • Efficient management of the coordination of the Compliance team as it relates to initiatives and projects
  • Supervise Import Customs Compliance Specialist functions and responsibilities.
  • Conduct weekly meetings with the department's team to monitor the Compliance processes.
  • Establish and maintain guidelines for our processes and update at least once every 6 months or as needed.
  • Administer and execute the U.S. Customs Compliance Program at branch level, according to company objectives, policies and procedures.
  • Monitor CBP request for information and ensure timely communication to customers.
  • Ensure branch implementation of all products’ OPS procedures related to import Customs regulatory compliance.
  • Ensure strong knowledge and proper use of all Expeditor systems and tools as applicable.
  • Conduct instructor led trainings to the branch staff on compliance processes & regulations.
  • Conduct skills assessment to CHB agents to measure knowledge and identify training needs.
  • Develop and manage an annual schedule to conduct 1 assessment per week by each team member or minimum of 5 assessments per week
  • Facilitate and report government agency visits to Regional and CHQ Compliance in accordance with Expeditors’ Government Visit Guidelines.
  • Attend local government agency meetings and seminars.
  • Work with department managers to promote how Expeditors’ Customs compliance structure drives savings and efficiencies for customers.
  • Communicate Customs compliance issues, trends and requirements applicable to department managers, as well as Regional Customs Compliance Managers.
  • Support sales staff and department managers in new business development.
  • Monitor and support the use of the Import Declaration Monitoring Application (IDMA)
  • Monitor and improve key departmental District Excellence and Global Business Operations metrics ref. Corridor Metrics Report
  • Ensure the reports are utilized at the level of frequency required to effectively monitor and manage operations; and identify opportunity areas and action items to close performance gap.
  • Escalate necessary issues to Shared Service Manager, Regional Compliance Manager and or District or Branch Manager.

Qualifications

  • To be the most effective in this position we are looking for the following skills and experience:
  • Education: Bachelor's degree in Business Administration or related field.
  • 5 years logistics industry experience
  • 3 years’ experience in import brokerage
  • Broker’s License preferred or commitment to obtain within 18 months.
  • Experience interacting with government agencies
  • Familiar with Expeditors’ network
  • Import Clearance Specialist Certifications
  • Import Compliance Specialist Certification
