Job Description

The Administrative Assistant of this rapidly growing company is essential for conservingtime and promoting the corporate image by representing the Corporate Office internally and externally. Also, providing liaison between all parties as needed and when directed. As a receptionist you will be the first person to greet visitors to the company headquarters.

Primary Responsibilities:

  • Serves visitors by greeting, welcoming, and directing them appropriately
  • Notifies company personnel of visitor arrival
  • Answer any incoming direct phone calls
  • Informs visitors by answering or referring inquiries
  • Maintains security by following procedures; issuing visitor badges
  • Keeps a safe and clean reception area
  • Manage Daily Mail & Shipping
  • Assists in Party Planning and Organizing Events
  • Supply/Inventory Management using Microsoft Excel and other data softwares
  • Manage flow of communication both internally and externally
  • Maintains strict confidentiality with sensitive information, financial documents, records and personal matters
  • Process necessary paperwork and forms as requested by various departments
  • Work effectively as an integral member of a team of administrative professionals
  • Other duties as determined necessary by the Director of Corporate Logistics (i.e. office duties, filing, copying, scanning, sending emails, etc.)

Qualifications

  • Happy, Energetic & Welcoming Personality
  • Previous experience using Microsoft Office software required (Word, Excel, Outlook, PowerPoint)
  • Highly professional in dealing with confidential matters, materials, and information
  • Strong interpersonal skills and the ability to interact effectively with a wide range of people
  • A strong customer service attitude and approach
  • Knowledge of office procedures and the use of office equipment
  • Strong Organizational skills
  • Ability to handle pressure and quickly shift focus from one task to another
  • Highly professional in dealing with confidential matters, materials, and information
