Job Description SummaryThe Clinical Services Coordinator is responsible for supporting the sales and clinical organization through product validation and conversion management. This person will be responsible for scheduling ancillary support and third-party agencies. This role also provides conversion management administrative support for the clinical and sales team and requires knowledge of tracking analytic metrics demonstrating efficiencies and adherence to established processes and methodologies. Budgeting and forecasting will be a key component of this position and requires monthly analytics and risk reports. Demonstrates thorough knowledge and understanding of relevant clinical education and training, products and services

Collaborate closely with clinical leadership to ensure the effective and efficient program delivery

Ensures timely processing of support requests

Responsible for creating conversion schedules and for execution of the scheduling process for ancillary team

Validates TM scheduling request approvals

Runs point on support logistics and communication between BD internally and with the outside agency

Supports TM/CS with customer discussions to help define scope and conversion requirements

Standardizes customer communication and provides standardized templates on the steps and logistics of the conversion management process to both the customer and the field

Maintain forms and records to document program activities

Accountability for forecasting monthly OCS budget versus analyzing actual realized costs

Accountability for forecasting and managing monthly budget and providing dashboards demonstrating resources, scope of conversion and spend per Region, Territory, Product

Responsible for identifying risks or trends that threaten exceeding budget or overutilization

Facilitates onboarding training, coordinating trainers and logistics

Manages roster and ensures appropriate staffing of ancillary team

Provides feedback to Clinical Managers and RBMs on TM/CS involvement

Along with Data Analytics Manager, conducts analysis of resources required per conversion

Maintains and updates conversion materials with input from clinical

Assists in the development, implementation, and maintenance of special projects and/or assignments as required

Supports all administrative tasks supporting conversions outside of product, including educational materials, in-servicing resources, and tools. Assist with field and/or classroom training of new associates

Detail oriented with strong organizational skills and the ability to multi-task and prioritize requirements

Contributor and collaborator with sales, clinical and marketing

Actively seeks out and makes recommendations on new opportunities for improvement and increased efficiencies.

REPORTING STRUCTUREThis position reports to the Clinical Sr Director, and a dotted line reporting to the Field Implementation Team Manager
