Administrative Assistant II, Assistant Provost & Curriculum Governance

The Administrative Assistant will provide professional administrative support to the Assistant Provost of Curriculum and Academic Systems. They support curriculum governance committees and maintain associated electronic records. Under the direct supervision of the Assistant Provost, they will collaborate with Faculty Senate Leadership and academic administrators to support Faculty Senate, the College Curriculum Committee, and General Education Committee meetings. They will schedule meetings, gather information and prepare meeting agendas, take meeting minutes, and maintain meeting calendars. Responsible for committee memberships, meeting materials, records maintenance, event planning, maintenance of webpages and SharePoint sites, and other general support. They will also provide support and coverage to the Provost Office as requested.

Essential Responsibilities and Duties

  • Provide meeting support for the Faculty Senate, the Senate Curriculum Committee, and the General Education Committee by scheduling meetings, preparing and publishing meeting agendas, taking and producing accurate meeting minutes and notes, distributing appropriate meeting materials, maintaining accurate committee membership, providing timely information on curriculum.
  • Coordinate meetings for curriculum governance committees including space reservations, invitations and notices, room set-up and break-down, refreshments, and arrangements for speakers if needed.
  • Provide professional administrative support to the Assistant Provost of Curriculum and Academic Systems.
  • Perform general clerical duties including but not limited to answering phones, setting appointments in Outlook, coordinate meetings, maintain records, develop and maintain reporting, track and coordinate budgets, and coordinate travel when needed.
  • Maintain Faculty Senate SharePoint site and support Curriculum SharePoint site.
  • Develop and maintain meeting materials, calendars, and other related information and publish to the respective SharePoint sites.
  • Collaborate with the Curriculum Coordinator to ensure proposals are included with appropriate meeting agendas and recommendations move forward through SLCC’s shared and participatory governance systems.
  • Support and provide coverage for the Provost Office Suite as requested.
  • Other duties as assigned.

Essential Responsibilities and Duties Continued Minimum Qualifications

  • Two (2) years of post high school education (minimum of 60 earned credits)
  • Three (3) years of direct, full-time, paid work experience as an administrative assistant or secretary.

  • Part time experience may be considered on a prorated basis.
Preferred Qualifications

  • Associates degree from a regionally accredited institution
  • Bachelor’s degree from a regionally accredited institution
  • Higher education paid work experience strongly preferred
Knowledge, Skills & Abilities

  • Follow written and oral instructions effectively.
  • Coordinate activities/events/meetings with others providing detailed logistics and scheduling.
  • Safeguard confidential information.
  • Assist in meeting agenda creation and distribution.
  • Take and edit meeting minutes or notes.
  • Coordinate Assistant Provost Outlook calendar, calls, and scheduling.
  • Understanding of higher education policies, procedures, and best practices in college curriculum processes.
  • Familiarity with college structure, resources, and services.
  • Demonstrated initiative, teamwork, and conflict resolution skills.
  • Possess knowledge, skills, methods, and experience to effectively manage multiple projects.
  • Demonstrated use of Microsoft Office applications, specifically Word, Excel, and SharePoint.
  • Ability and willingness to become a skilled user of technological tools and reporting systems.
  • Ability to manage and assess large amounts of data.
  • Effective interpersonal, written, and oral communication skills.
  • Demonstrated strong organizational skills.
  • Ability to perform with minimal supervision and professionally under stress.
  • Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
  • Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
Non-Essential Responsibilities and Duties

Ability to sit in a shared work environment with headset on for meetings and noting.
