We are looking for a responsible friendly executive assistant to perform a variety of office management and administrative tasks. Duties include, providing support to our managing director and our team of consultants and partner companies, assisting with daily office needs and managing the companys general administrative activities.

Job Duties:

Answering and screening phone calls

Fostering customer relations through cheerful answers to calls, upbeat responses to questions and requests, and a helpful attitude

Serving as a point of contact for the companys team of consultants and partner companies, clients and vendors.

Organizing and scheduling appointments

Planning teleconferences

Managing the directors calendar

Making travel arrangements

Maintaining the offices filing systems

Reviewing the directors emails and highlighting those of importance

Writing emails, correspondence and memos and filling out forms

Preparing reports and invoices when required

Arrange payment of accounts

Conducting computer and Internet research

Monitoring office supply levels and reordering when necessary

Maintaining all office systems, supply agreements, online subscriptions and renewals

Posting news links in the companys social media sites

The ideal candidate will have excellent oral and written communication skills, an upbeat attitude and outgoing personality, and proven experience as a secretary, executive administrative assistant or office manager. Other qualifications include:

A high level of professionalism with strong work ethics

Proficiency with G Suite and MS Office, (Word, Excel, and PowerPoint)

Knowledge of office management systems such as QuickBooks (accounting), Dialpad (telephone) and Harvest (time management and billing) a plus

Working knowledge of office equipment such as printers and scanners

Excellent time management skills and the ability to prioritize work

Strong organizational skills with the ability to multi-task

Accurate, detail oriented and enthusiastic

Time management and Problem-solving skills

Excellent interpersonal, communication and listening skills

3 years minimum executive administrative experience

College graduate preferred

This position is a contract position with minimum of 32 hours a week
