Proposal Coordinator at its

Fairfax, VA location.

Responsibilities

IMG is seeking a highly organized, energetic candidate to support the planning, development, and coordination of concurrent business proposal efforts. The successful candidate will possess demonstrated capabilities in the application of critical thinking and problem-solving skills to manage competing priorities and complete assigned tasks, often within tight deadlines. The role will support the efficient execution of capture and proposal life cycle processes including capture research; proposal planning, development, and production; and post-submission phases. It requires solid research and analytical skills, with an ability to cross-reference content from multiple sources to create compliant, comprehensive, cohesive products.

  • Develop proposal team briefing materials, proposal schedules, data calls, and action item tracking tools.
  • Write content for assigned proposal sections, contract summaries, tailored resumes, internal processes/procedures, templates, white papers, corporate capability summaries, and other corporate products.
  • Conduct market and customer research and participate in solutioning workshops; contribute to the development of critical proposal inputs including hot buttons, solution features/benefits, value propositions, and win themes.
  • Conduct detailed analysis of work scope elements and other customer requirements documentation and develop and complete corporate capability matrices.
  • Develop compliance matrices based on Request for Proposal (RFP) requirements and draft annotated outlines aligned to proposal preparation instructions and evaluation criteria.
  • Review government solicitation documents and develop clarifying questions.
  • Manage/track data input requirements from across corporate functional sections, internal Subject Matter Experts, and participating external teaming partner/consultant representatives.
  • Monitor solicitation developments (amendments, answers to questions, etc.) and keep proposal writers/teammates updated, revising proposal outline/schedule/etc. as appropriate.
  • Coordinate color team reviews in accordance with the proposal schedule, develop reviewer in-briefs, and consolidate/organize reviewer comments into proposal writer out-brief presentations.
  • Conduct iterative reviews of draft proposal sections to identify gaps in compliance.
  • Document identified proposal development execution issues as they occur; support post-submission Lessons Learned and corrective action planning/implementation.
  • Maintain critical corporate repositories including submitted proposals; corporate-formatted resumes; marketing materials; and internal guides, procedures, and templates.
  • Perform ad hoc tasks and support internal initiatives as assigned.

Qualifications

Required Qualifications:
  • Undergraduate degree in Communications, Marketing, Business, English, or related highly analytical field of study.
  • Minimum of 3 years of experience supporting proposal development efforts in a proposal writer, administrator, specialist, and/or coordinator role, preferably in the federal / DoD area
  • Superior skills using the MS Office Suite and Adobe DC Pro; familiarity with other Adobe Creative Suite applications highly beneficial.
  • Excellent written and oral communication skills, including the ability to interact professionally with multiple levels of internal and external customers; high proficiency in technical writing/editing, with a sharp eye for detail.
  • Capability to perform tasks independently, with minimal supervision, and proactively anticipate emerging work requirements.
  • Ability to prepare an outline from a set of requirements and write tailored content targeted to the appropriate audience.
  • Ability to work extended hours and weekends during surge periods.

Desired Qualifications:
  • Proposal Management Training (e.g., Shipley Associates).
  • Proficiency using collaboration and document repository tools; ability to serve as a primary SharePoint administrator.
  • Experience using federal opportunity search tools including GSA eBUY, GovWin, SAM.Gov, SeaPort, etc.
  • Experience using Deltek VantagePoint software
  • Ability to perform desktop publishing and create graphics.
  • Prior experience with DOD and/or IC work in either a military or government position highly desired.

Clearance: Must be a U.S. citizen with an ability to obtain a government security clearance.
