Office Assistant Position Summary:

Primary duty is to successfully assist with the daily administrative duties of an industrial, temporary staffing branch location; assisting with sales and service functions primarily by telephone, email, and occasional, in person encounters, to help manage and promote client relationships; and assist in the recruiting, placement, and management of the temporary employee workforce.

Office Assistant Principal Responsibilities:

Responsibilities will include assisting with hiring, management, discipline, and termination of temporary associates; taking orders from existing clients; determining proper workers compensation and billing rates for new clients; determining availability of and selecting the proper and/or best choice of employees for clients; setting or adjusting pay rates for employees based on the assignment; assisting with dispatching of temporary associates to client sites; determining the proper safety gear and/or tools required; routine and regular customer interactions by phone and email to build customer relations and evaluate employee performance as well as routine customer service handling; resolution of customer and employee complaints or disputes; assisting with workers compensation claim management; assisting with payroll processing; daily/weekly invoicing and reporting; and other duties the company may ask to have performed.

Office Assistant Job Functions:

Candidate must have the ability to multitask within an office environment while exercising proper time management skills to accomplish the many tasks performed.

Candidate must be able to exercise discretion and independent judgment when making decisions regarding temporary employee selection, client accounts, and temporary employee personnel matters.

Candidate must be able to comprehend, interpret, and follow legal compliance matters involving the management of temporary employees.

Candidate must have the ability to utilize standard office machinery including extensive use of computers and email.

Candidate must have the ability to verbally interact in a positive manner with a wide variety of people from all social backgrounds both in person and via telephone.

Candidate must have the ability to work a shift that typically extends to early evening hours and be flexible regarding early morning hours, and weekends. Hours may vary based on branch staffing arrangement. Looking for someone to work a "Split Shift". 6a-10a and 2p-6p.

Candidate must have the ability to provide on call coverage three to four times per month, or more, as needed - to include weekends, nights, and holidays.

Employee must possess and maintain a valid driver's license and their own reliable, insured, motor vehicle (motorcycles excluded) for use during working hours for the purpose of sales or customer visits, emergency employee transportation, or for other errands the company may ask to be performed.

Office Assistant Education:

High School Diploma or equivalent; A.S. or B.A. Business Related Degree Preferred

6 months + experience in office or staffing background

Office Assistant Experience:

The ideal candidate will possess experience in a staffing office environment or with experience with a field work force.

Office Assistant Required Skills:

Bi-lingual (Spanish) preferred, Computer Literate with Word, Excel, Outlook experience a must.

Office Assistant Physical Requirements:

Ability to walk and stand for extended periods of time. Ability to verbally and visually communicate with clients and associates to provide assistance with directions and overall job related instructions. Ability to visit and navigate a variable terrain, like those found on a construction sites, to assist in the transportation of an injured worker, or to address a personnel matter involving a temporary employee.
