The Administrative Assistant is an integral member of the Association team. She or he must go the extra mile to serve as a problem solver for staff, leaders, members, sponsors and the public. As the first point of contact for many with the organization, the Administrative Assistant must be engaged with the entire scope of Association's work to address inquiries and represent the programs and services of the Association. A polished and pleasant demeanor is a must.

POSITION SUMMARY: Responsible for outstanding customer service skills and administrative tasks for front desk and general office duties:

This position is primarily responsible for front desk duties, including but not limited to:

A. Front Desk

Greet members and visitors in person, by phone and online.

Answer questions or route them to the appropriate person on the staff or to an outside organization.

Input/update information in the Association database.

Confirm integrity of information in the database.

Receive and sort mail, packages, faxes and other forms of business communications.

Assist with outgoing correspondence and mailings.

Ensure a clean and presentable office environment.

B. Operations - General

Assemble and circulate materials for the Board, committees or special events.

Ensure office equipment functions properly and address any maintenance issues.

Monitor office and kitchen supplies, re-order as necessary, and keep a supply inventory.

Complete office errands as necessary.

Help staff and perform additional duties as assigned, such as marketing tasks.

C. Scheduling and Event Assistance

Maintain schedule for meetings held in the Association member space and for conference calls.

Order supplies, lunches or other meeting needs, and set up and clean up spaces.

Review event registrations, dues and donations against member database, making updates and following up with registrants where necessary.

Update calendars with office events.

Prepare name badges for events throughout the year.

Attend events as needed.

Assist in charitable fundraising activities.

Prepare RSVP lists for special functions.

ADDITIONAL SPECIALIZED KNOWLEDGE/SKILLS:

College degree preferred. Must have strong computer skills and proficient use of basic computer applications, word processing. Online content/social media familiarity expected. Experience using and updating a database preferred. Detail oriented. Excellent verbal and written communication skills. Able to work effectively with volunteers and in a team atmosphere. Able to make administrative decisions in accordance with established policies and procedures. Able to perform multiple tasks concurrently and facilitate completion. Good sense of humor and willing to assist in all aspects of office.
