The Administrative Coordinator position is an outstanding position for an outgoing, detailed and technology oriented individual. This individual will embrace the importance of the daily routine tasks that are the backbone to any well-functioning office. This individual will enjoy working collaboratively with others inside and outside of the organization, in a support role on tasks associated with general fundraising, administrative duties and special events in order to reach assigned annual development objectives and goals to maximize efficiency.

ESSENTIAL FUNCTIONS:

Answer and distribute incoming calls.

Welcome and assist guests visiting the WPP office.

Administers gift entry and acknowledgment process for donors.

Oversee and maintain constituent record management in donor database.

Ensures quality of donor database and coding.

Provide support to staff related to communication with WPP boards and committees (meeting update emails and rsvp status, organize and prepare annual board material for new/existing board members, events calendar, and other communications as needed/requested by senior management).

Troubleshoot technical support matters with primary office equipment (copiers, scanning, and phones).

Other duties as needed.

SPECIAL EVENTS:

Drive administrative and organizational preparations for special events, including check-in/check-out processes.

Generate collateral needed for special events, donor stewardship and cultivation projects, and other development initiatives.

Coordinate pre-event and post-event tasks as needed.

Maintain online auction site for events.

Support third party events as needed.

GENERAL OFFICE SUPPORT:

Maintain and update organizational contact directories.

Distribute incoming faxes/voicemails to general mailbox to appropriate staff members via email system.

Maintain appearance of reception area, conference rooms, development/general supply areas, copy room and kitchen.

Sort and distribute mail.

Coordinate hotel, transportation needs, and catering orders for staff and WPP guests as needed by senior management and/or development staff.

Order and maintain office supply requests to include inventory of general stationary material (letterhead, envelopes, and receipts).

Maintain office postage supply for general and development use.

Assists with solicitations and other mailings.

QUALIFICATIONS:

College education desirable (but not required), 2-4 years experience in an administrative support/office manager role; or any equivalent of education and experience which provides the required knowledge, skills and abilities to provide the core responsibilities of this position.

Must have strong knowledge of personal computers, keyboarding skills, and commonly used Microsoft Office software products (Word, Excel, Outlook, and Publisher). Proficient in creating mail merges, spreadsheets and other basic computer related support tasks. Individual should also have experience using a donor management system, preferably Donor Perfect.

The ideal candidate must be detail-oriented; excellent customer service skills; ability to manage multiple priorities and meet scheduled deadlines; ability to maintain confidentiality; effective interpersonal skills and excellent communication skills, both verbal and written; and ability to work with employees of various levels within the organization. Successful individual should also have the ability to present information concisely and effectively; ability to organize and prioritize work; ability to work independently with little direct supervision; must be flexible and adapt to fast pace work environment. Good sense of humor and penmanship is also a plus.
