The PNW Region is looking for an experienced Office Manager that is ready for an opportunity to assist a project management team to ensure the efficient, cost effective and professional operation of a large fish passage project in cooperation with Washington State Department of Transportation. Project duration is expected to last 24-26 months. General Summary

Under minimal supervision, this position is responsible for supporting Project Managers, Project Engineers as well as field employees performing a variety of complex, specialized, administrative and office support functions to ensure the daily operations of the department run efficiently.

Essential Job Accountabilities

1. Perform various daily, weekly and monthly administrative functions and process all or some of the following: payroll, accounts payable, accounts receivable, contracts, purchasing card reconciliation and document control to ensure accuracy and timely completion in accordance with established procedures and compliance with Company policy, General Accepted Accounting Principles and Sarbanes-Oxley requirements

2. Participate in business unit management meetings to provide input on business administration processes and issues.

3. Use cloud-based construction management platform to increase cross-project data and workflow transparency and standardize project tracking to drive consistency.

4. Support Project Managers and Project Engineers including scheduling meetings, maintaining calendar, and travel arrangements to ensure they are relieved of administrative duties.

5. Serve as the point person for all telephone and mail inquiries to ensure all matters of significance are brought to the Project Managers’ attention and that outstanding customer service is provided to all customers and the public.

6. Review, recommend and approve changes as required to all contract and subcontract documents to ensure timely, accurate and efficient processing and compliance.

7. Assure compliance with all government regulations.

8. Support the project managers with attainment of DBE supplier participation goals mandated in the prime contract.

9. Assist Project Manager and Project Engineer in translating cost estimates into the project budgets including setup of project budgets, cost codes, project workers' compensation codes and historical cost tracking codes to ensure accurate project budgeting.

10. Process accruals and journal entries to ensure job cost is reflected properly.

11. Process and monitor Owner required paperwork to ensure Granite and subcontractor compliance.

12. Prepare and update project Tracking Logs and submit to Project manager ensuring Project progress is accurately measured.

13. Assist Project team in preparing subcontractor payments and prime contract billings to ensure subcontractor payments and client billings are timely.

14. Prepare and run cost reports, distribute to project team, perform specialized cost analysis and research projects as requested to ensure accuracy, timeliness and cost effectiveness.

Education

Bachelor’s Degree in Business Administration, Accounting or related field or equivalent combinations of training and experience.

Work Experience

Minimum 2 years progressively responsible office experience combining administrative, accounting and analytical skills.

Knowledge, skills, and abilities

Detailed knowledge of Company operations, organizational procedures, and personnel.

Understanding of regulatory requirements (SOX, GAAP, DBE, collection laws, contract law, etc.).

Developing supervisory, communication and organization skills.

Ability to work independently.

Ability to work well under pressure.

Ability to problem-solve.

Excellent organizational skills.

Must be proficient in Microsoft Excel and Word.
