Essential Duties & Responsibilities:

Maintains and updates waiting list data to ensure accuracy and proper order for applicant selection as part of the intake process.

Schedules applicants/participant and assembles briefing/move packets.

Performing all Eligibility Specialist duties and tasks, including:

o Ensures proper maintenance and tracking of files and long-term processes (i.e. paperwork submission deadlines, voucher expirations, etc.)

o Follows detailed regulatory and agency procedures such as collecting documentation, interviewing, calculating financial information, assembling verified information for all participant files, including initial eligibility, moves, interim changes, and recertification.

o Processes and maintains accurate, timely computer and file records at all stages of application/participation including annual review, move-in/move-out, interim change and end of participation data into computer programs.

o Ensures proper tracking of long-term processes (i.e. earned income disregard, six-month period of eligibility for participants who are over-incomeĀ, lump-sum payments, etc.) Incorporates changes of circumstance reported and third-party verifications collected with on-going annual eligibility reviews and/or moves when necessary.

Actively participates in the Informal Review and Informal Hearing process, including:

o Prepares or reviews prepared files to ensure appropriate documentation is included to defend the decision for the adverse action being taken.

o Presents documentation collected, including related HUD regulations and CAC policies during informal reviews/hearings, when an adverse action is being is taken against the applicant/participant due to violation(s) of those policies.

Conducts file audits as directed to ensure correct subsidies and adherence to applicable policies and regulations. Timely apprises management of audit findings.

Conducts oral briefings/orientations for prospective participants.

Identifies applicants and participants that may have limited English proficiency (LEP) and coordinates with customers, interpreters, and staff when translation services are needed.

Completes participants annual reexaminations and interim eligibility changes in a timely fashion, to include calculating the correct subsidy.

Executes housing assistance payments contracts.

Monitors assisted families eligibility to ensure that they are fulfilling their family obligations.

Processes End of Participations as applicable.

Resolves participant and property owner problems/concerns or refers them to the management as needed.

Prepares housing program progress reports as directed.

Provides outreach, information, education and technical assistance to various organizations and interested groups.

Coordinate assistance and services for very low-income individuals/families in conjunction with community organizations and agencies.

Maintain HMIS and CAP60 data entry as applicable.
