Office Manager Job Description
Position Summary:
General knowledge of bookkeeping principles is preferred, and the candidate must have good time management and data entry skills. You must have excellent customer service skills and have the ability to clearly and consistently communicate with the Business Office Manager and Executive Director.
Qualifications:
Able to pass an Idaho Department of Health and Welfare background check.
Must be 18 years of age.
Ability to understand and write simple instructions and short correspondence / memos. Ability to effectively present information in 1-to-1 and small group situations to incoming foot traffic, clients, and other employees of Milestone Decisions.
Ability to carry out detailed written and oral instructions.
Ability to troubleshoot everyday problems related to typical work-related issues.
Excellent functional knowledge of Microsoft Word, Microsoft Excel, and typical web browsers is required.
Ability to be professional and work with confidential and sensitive information.
Primary Responsibilities:
Answer and direct phone calls to appropriate coworkers: take and distribute messages as needed, greet and direct incoming visitors to the appropriate staff member(s)
Financial recordkeeping per Social Security and company policy
Accurate and timely record-keeping and reconciliation of all local accounts
Accounts receivable / payable
Assist with maintenance of vendor / GL ledgers
Collection of tax documents from local vendors
Banking duties as needed
Initial hiring / reference checks / interviewing as requested: receive and process new employment applications, schedule interviews and meetings as needed. Complete new hire recruitment. Coordinate with trainers to schedule trainings as needed. Verify and maintain new and terminated employee records.
Verify and maintain new and terminated employee I-9 documents
Order and distribute office supplies / orders
Keep lobby and front end of office clean and orderly
Scan, archive, and file documents as needed
Duties as assigned:
Develop a proficiency with payroll software
Generate payroll period reports
Benefits enrollment and tracking
Develop a knowledge of Medicaid rules as they pertain to human resources
Develop a knowledge of HIPAA regulations as they pertain to the company
Develop a working knowledge of the Medicaid web portal / website
Client and staff database maintenance
Assistance as requested by the Executive Director
Other duties as assigned by Westcare, Executive Director or Business Manager.
Salary: $29,000.00 to $33,000.00 /year
