Duration: 8 Months

Job Description:

We have an exciting opportunity for a Business Administrator to join the Microsoft Digital Stores Team, reporting to the General Manager for the Microsoft Data Analytics & Planning team.

The team manages the data analytic needs for the Digital Store and Category Management organizations. The majority of the team is located in Redmond, and there are a handful of team members located on the east coast. This candidate will be supporting the General Manager and business manager. This person will be helping to coordinate the General Manager's calendar and all up-team meetings. When travel reopens, this person will schedule all travel for the General Manager. The team is very tight-knit and works very closely together.

Duties include:

Admin Support to General Manager:

  • Pro-actively manage General Manager's complex calendar and travel schedule and optimize time.
  • Plan and coordinate domestic and international travel plans end-to-end including the proactive anticipation of travel and itinerary (when travel opens).
  • Assist in the preparation of high-level presentations, including PowerPoint decks, light to moderate excel data support.
  • Support General Manager with any HR team related changes and updates.
  • vendor setup for team and rhythm of business for the organization.
  • Assist business manager with overall DAP budget management including ownership of computer/supplies budget, ROB for finance close dates, and assisting budget owners with accruals/reclasses/PO help as needed.
  • Team Admin & Project Support in partnership with Business Manager:
  • Ensure the rhythm of the business (ROB) calendar is always current to keep the team updated on key upcoming events.
  • Manage and maintain Team site.
  • Ensure team aliases are up to date.
  • Schedule and coordinate team meetings, including facilities, meeting rooms, AV set up, catering, etc.
  • Assist Business Manager in Tracking and monitoring monthly budgets for the organization by managing team purchases: equipment requests and invoice processing, services, tracking and reconciling
  • Maintain monthly organization charts, blueprint updates, budget tracking for PC refresh and supplies, and other reports as needed.
  • Assist in event planning and catering for team All Hands and offsites.
  • Proactively identify and complete additional administrative projects.
  • Manage recruiting efforts including PCN and Req creation and management. Manage weekly reporting of status updates for the team.
  • Manage onboarding process for new hires including ordering of computer/supplies and adding to relevant aliases and Team sites.

    Other:

  • Dedicated backup support for HQ Admin needs: staffing support, new hire setup, team meetings, calendaring, etc.
  • Ensure compliance with administrative operations policies and procedures.
  • Support general operations management such as office space and facility operations (moves).
  • Actively participate in the DS Admin community.
  • Helps coordinate cross department real estate requirements.

    Candidate Requirements

    Previous Microsoft experience is required They need to be familiar with groundwork and infrastructure of Microsoft

    The candidate must have the following qualifications and proven track record:

  • BA/BS degree preferred with an interest in working in the digital stores preferred.
  • Minimum 5 years demonstrated work experience supporting senior management in a fast-paced environment, or previous experience in operation.
  • Intermediate/Advanced experience with latest versions of Microsoft products, including: Office 365, Windows 10, Outlook, Excel, Word, PowerPoint, OneNote, Teams.
  • Intermediate/Advanced knowledge of MS internal tools preferred, including: MSS, ManagePointHR, HeadTrax, RecWeb, E-Rec; assetlink, MyOrder, MS Market, MS Invoice, MS expenses, Informa etc.
  • Highly detail orientated with excellent organization and prioritization skills, is action-oriented, has outstanding project and time management skills, and proficiency in creating and formatting professional documents.
  • Ability to react with appropriate urgency to situations and events that require a quick response or turnaround. Embracing change is essential.
  • Effective communication skills, both written and verbal with strong interpersonal skills.
  • Ability to take ownership and drive issues to a quick resolution.
  • Demonstrate flexibility in schedule and time demands to meet the needs of the organization.
  • Ramp Up typically takes approximately 30 days (when considering learning the internal tools). They will shadow the current contractor and work with the Business Manager to gain access to what systems they need.
  • Operate in a confident and professional manner. Communicate clearly with senior leaders and work to resolve issues quickly.

Need to have:

1 Experience supporting a GM level or higher Manager (1 or more years).

2 Administrative Assistant Experience (5-7 years).

3 Experience supporting a large team.
