Job Description
Scope of Position:Maintain and coordinate administrative duties for Expeditors Seattle Operations Branch focused on employee-related functionsincluding by not limited to, personnel changes, benefits coordination, new employee onboarding, recruitment as well as general office support as detailed below.
Major Duties and Responsibilities:. Human Resources: Employee/applicant relations; answering questions and concerns, counsel on personnel policies, promotional opportunities, job requirements, and work related issues, maintaining good relationships and providing support.Employee Benefits Contact: Support benefits coordination, answering employee questions, and maintaining effective forms flow. Assist in implementing new benefits programs, open enrollment and coordinate the communication process.Training: Facilitate training (Acquire Level One Trainer position), Run and deliver reporting for the branch on personnel and training, including personnel reports, regular training updates, one-on-one communication with individuals at risk of late trainingMonthly Calendar: Create and distribute monthly activity calendarPayroll: Responsible for processing and approving electronic timecards (payroll)Employee Document Management: Responsible for maintaining personnel files, employee rolls and lists, organization chart, current job descriptions, and performance appraisal program.New Hire Processing: Receive and process employment applications; submit and monitor background checks; schedule and deliver new employee orientation sessions. Receive, finalize and submit new hire paperwork to finish new employee processes.HRCompliance: Counsel and advise branch management staff on various policies, procedures and employment lawsGreen Team and Customs ReportingReceptionist Backup: Learn all duties of and provide relief for receptionist for breaks, lunches and absences.Branch Courier Run: Complete courier runs between buildings as necessary alternating with Branch Operations Lead.Meeting Space Prep: Set up and clean for meetingsAdmin Team Backup: Understanding of duties and practice of the other positions in the administrative team to provide coverage during absences- including providing scheduled rest breaks for the receptionist.Other Duties as new needs and requirement arise.Qualifications
Bachelor’s degree (B.A.) from four-year college or university; or 2 years related experience and/or training; or equivalent combination of education and experience.
Thorough knowledge of Expeditors Employee Handbook, including benefits, policies and procedures and working knowledge of employment law
Demonstrated interest in human resources and compliance
Ability to build strong relationships with employees and management to ensure effective support on personnel issues
Ability to work effectively in a team environment
Strong attention to detail and a critical eye
Organizational skills that result in consistent volume and quality of output
Enthusiastic, positive, and ambitious attitude
Strong interpersonal, customer service, and communication skills
Local candidates only; this is an onsite position in SeaTac, WA
