The Consulate General of Canada in Seattle is seeking a qualified candidate for the position of Administrative Assistant/Driver to: provide front line client services and administrative support; administrative transportation services to authorized passengers; and overseeing some general property maintenance.

Employment Tenure: There is one (1) indeterminate position available. This competitive staffing process may be used to create an eligibility list of qualified candidates for this position and other similar positions with various tenures, including indeterminate, term, assignment/ transfer, and/or acting opportunities at the Consulate General of Canada in Seattle, which might arise in the 12 months following the completion of this competition.

All applicants must:

Be resident in the United States.

Have independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions.

Have a valid Washington State drivers license.

examples, how you meet the Essential requirements, i.e., Education, Experience, for this position. All

qualifications.

Summary of duties:

Under the supervision of the Mission Administration Officer (MAO), and the Head of Mission provide front line support to the Consulate by operating the switchboard and auto-attendant; provide concise and accurate information to visitors and callers concerning the Consulate General of Canada in Seattle and Canada in general, controls access to the Consulate upholding the security policy and ensures the lobby is in good order; administrative support and general services for the Administration Program, including filing of financial documents, scanning, copying; manages the training function of the front desk and ensures that all material is accurate and up-to-date; organizes and operates the Mission registry/mailroom; troubleshoots office machine problems; monitors stockroom and office supply inventories and ensures adequate supplies are on hand at all times; provides transportation to HOM, arranges for car maintenance, and provides basic administrative, maintenance and support services to the mission following established mission and departmental policies and as assigned by the MAO.

The incumbent may be required to undertake special trainings for the driving of vehicles.

Language requirement:

Fluency in English (oral and written). The incumbent must be proficient in English sufficient to understand instructions and communicate information as required to carry out the duties below and communicate with local authorities/traffic wardens where and if required. (The ability to work in French would be an asset.)

Condition of employment (must be met):

Eligibility for a Government of Canada Reliability Status which includes a criminal and credit background

check;

Independent work authorization in the United States and status in accordance with United States protocol

directives for foreign missions;

Valid Washington State Drivers license;

Copies of educational qualifications will be required at the interview stage of the process. Successful

candidate must have a valid passport and the required documentation allowing the right to work in the US

and travel as necessary.

Essential requirements:

Candidates must demonstrate clearly in their cover letter how they meet the Education and Experience requirements listed below:

Education:

Secondary school diploma

Experience:

Significant experience (3 years) as a professional driver

Experience providing driving services (e.g. for executives or government clients)

Experience (3 years) providing administrative support tasks, such as record keeping, data entry, and courier

support and

Experience using MS Office Suite, eg., Word, Excel, and Outlook.

Rated requirements:

Candidates who meet the Education and Experience requirements will be assessed on the following qualifications. The assessment may be a written test, an interview, an in-basket exercise, a skills test, or any combination of these methods.

Knowledge:

Knowledge of general administrative and financial processes and procedures;

Knowledge and proficiency in computer software, including Microsoft Office Suite, databases and internet;

Knowledge of information management, both electronically and in hard copy;

Good written and oral communication skills

Knowledge of Seattle and the surrounding area routes and driving regulations (Must have a valid

Washington State drivers license).

Knowledge of car maintenance requirements and providers of such;

Knowledge of operating a GPS.

Abilities:

Communicate effectively in English, both orally and in writing;

Provide excellent client services;

Manage multiple competing demands, organize time and work effectively to meet deadlines;

Demonstration basic mathematical skills with the ability to maintain spreadsheets and to work with data;

Ability to analyse and plan driving routes based on destination address and time of day.

Hours of work:

Normal hours of work for this position are in accordance with the Terms and Conditions of Employment for Locally Engaged Staff (LES) in the United States of 37.5 hours per week. The incumbent will be required to work overtime and travel on an as-needed basis.
