Job Summary

The Human Resources Generalist (HRG) performs human resources-related duties, working in close accordance with employees on ships and on shore, at all levels of management, and with company executives. The HRG provides proactive and excellent customer service to the internal audience, vendor and client partners, and potential candidates in HR-related communications and education. Within a team environment, this position is responsible for the daily functions of the HR department.

The HRG carries out responsibilities as assigned in the following arenas: hiring/onboarding and employee lifecycle, training and recognition, employee relations, performance management, benefits and leave coordination, occupational safety/health and Jones Act coordination, policy and employment law compliance. The HRG is responsible for administrative support within each of these functional areas, including timely and ongoing digital and physical file maintenance.

Through collaboration, the HRG will also participate in enhancing, developing/implementing, or enforcing internal programs, practices and procedures, with the focus of enhancing the employee experience and retention, promoting operational and administrative efficiencies, and driving business success.

This is a full time, year-round exempt position based at the company headquarters in Seattle. Position reports to the Manager of Human Resources.

Essential Duties

(HRG team will collaborate & cross-train on the following functions; each HRG will lead or support specific areas as assigned)

Benefits and Leave Coordination

  • Advises and counsels management and employees on existing benefits; functions as point of contact for inquiries from employees related to 401k, health insurance, other employee benefits, and employee leave options (example, FMLA, WAPFML).
  • Assists with annual benefit plan renewals (including plan revisions, premium negotiations with vendors and service providers) and annual employee benefit open enrollment. Supports Payroll & Benefits Administrator in reviewing, verifying, and submitting final annual renewal paperwork at all levels. Participates in open enrollment planning, testing, implementation, and follow-up.
  • Communicates, arranges, and prepares employee meetings, announcement material, booklets, and other media for benefit plans to employees. Revises and reissues all communications material on benefits from time to time.
  • Performs routine tasks related to health insurance, 401k, and other employee benefits administration; executes additional benefits-related functions as directed (example, reconciliations, ACA reporting, other).
  • Coordinates with Payroll & Benefits Administrator, managers and employees in facilitation of protected leaves.

Occupational Safety/Health and Jones Act Administration

  • Maintain accurate, up-to-date reporting on all active Jones Act or L&I claims including tracking AIIs (Accident, Injury, Illness reports) and all associated documentation.
  • Act as point of contact for employees, 3rd party claims adjustors, and internal management.
  • Proactively communicate with claimants and adjustors to ensure proper management of each individual claim.

Hiring, Onboarding and Employee Lifecycle

  • Supports the hiring and onboarding of qualified job applicants; in conjunction with Recruiting team, manages correspondence with potential and hired office and crew candidates, applicants and personnel.
  • Collaborates with departmental managers and Recruiting team to understand skills, competencies, credentials and certifications required for openings. Maintains accurate collection and maintenance of all required crew credentials in collaboration with department managers.
  • Coordinates, tracks, and communicates pre-employment requirements for all hires (including medical clearance, drug testing, and other); reviews requirements on a seasonal and periodic basis to ensure employee and company compliance.
  • Facilitates pre-employment and random drug-testing programs for DOT and non-DOT vessels; functions as Designated Employer Representative.
  • Coordinates company response to employment-related requirements such as unemployment claims, EEO-1 reporting, and other.

Training, Recognition and Engagement

  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, required certifications, and work assessments. Schedules, coordinates, and delivers new hire orientation programs for office, land, and vessel crew members.
  • Coordinates and/or delivers company-provided training as directed (example, specimen collector training, certain STCW courses, soft skills training, supervisory skills training, etc).
  • Coordinates Tuition Reimbursement program.
  • Implements, coordinates, and facilitates employee recognition programs, engagement surveys, and additional morale tools to promote retention.

Employee Relations and Performance Management

  • Handles employment-related inquiries from applicants, employees, and supervisors.
  • Responds to employee concerns; may refer complex and/or sensitive matters to the appropriate staff or lead investigations as directed.
  • Coordinates and facilitates performance review process for office, land, and vessel team members.
  • Aids managers in ensuring disciplinary documentation is well-crafted and proactive; attends and participates in employee disciplinary meetings, terminations, and investigations.

Policy & Employment Law Compliance

  • Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance. Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Studies existing and new legislation, obtains qualified opinions, enforces adherence to requirements, and advises management on needed actions.

Administrative & Other

  • Performs ongoing, timely and accurate file maintenance (physical personnel files, digital files, database maintenance).
  • Provides timely response to all inquiries (email, in person, telephonic); represents HR professionally to internal and external stakeholders.
  • Cross-trains to other functional areas within Human Resources.
  • Performs other duties as assigned.

Qualifications

Required:

  • Bachelor’s degree and two to five years of related HR experience, or equivalent.
  • Powerful organizational, analytical, communication (verbal and written), interpersonal, problem-solving, leadership, time management, prioritization and project management skills.
  • Computer proficiency and technical aptitude with MS Office (Excel, Word, PowerPoint), ADP (or other HRIS), and the Google platform (Gmail, Google Sheets, Google Docs, Google Forms)
  • Familiarity with report analysis, creation, and maintenance.
  • Knowledge of pertinent federal, state and local regulations, filing and compliance requirements, both adopted and pending, which affect HR and benefits management.
  • Proven ability to work effectively in a team environment; capable of effective planning and priority setting. Ability to manage several complex projects simultaneously and with accuracy while working under pressure to meet deadlines.
  • Ability to professionally and effectively interface with multiple levels of management.

Preferred:

  • Two to five years of employee benefits administration experience; thorough knowledge of benefits plan designs. Ability to understand, evaluate, and make judgement on RFPs; knowledge of benefits contract language.
  • Professional HR and/or benefits certification (SHRM-CP, SHRM-SCP, PHR, SPHR, HRMP, HRBP, sHRBP, CPB, CEBS, etc).
  • HR and/or benefits experience within a seasonal environment; HR experience within the cruise industry, HR experience employing/managing international crew.

Physical Demands / Work Environment

  • Typical office environment. Position may require bending, climbing, reaching, repetitive motion, and lifting.

  • Occasional work on board vessels locally or potentially in remote locations. May require climbing a gangway or ladder and navigating a vessel under construction.

Work Schedule

The HRG works an 8 hour day / 40 hour week schedule. Standard office hours, Monday through Friday, 8am – 5pm with occasional extended or weekend hours as needed to meet deadlines or during peak business times. This position may require occasional travel, maximum 10% of the time, in support of training, open enrollment, investigations, and general HR support.
