We are a growing Residential Construction company seeking the right candidate for an Office Administrator role. The right candidate will be prompt, organized, friendly and motivated. Looking for someone with basic to advanced construction knowledge to help assist our fast paced Design & Build company reach it’s full potential. This position may also evolve into an Office Manager role in the future!

Job Description & Responsibilities:

-Scheduling meetings and appointments and adding them to appropriate calendars

-Maintain electronic and hard copy filing system in an organized fashion

-Provide administrative support in general to full team

-Record and transcribe general staff meeting minutes and other internal meetings

-Create and revise systems, processes, and procedures

-Field all new client calls and schedule appointments for home visits

-Create and/or modify documents for company as needed

-Prep and record all client contracts and subcontracts

-Send out reminders of meetings scheduled

-Build and supply job sites with construction jobsite binder, safety binders, first-aid, and accident report forms

-Track license, insurance expirations and renew

-Inventory and order office supplies as needed

-Proof and text weekly schedule to crew team staff

-Creating and maintaining a system to inventory job site materials

-Maintain calendars within company

-Maintain, sort, and clean up emails accounts

-Track leads in project software

-Assist General Manager as needed

-Keep office organized and schedule cleaner

-Input all bills and receipts into Quickbooks Enterprise

-Answering and directing of all daily phone calls

-Employee onboarding and fulfilling new hire documents

-Maintain Human Resources files

Requirements:

-Two years minimum in an administrative role

-Experience in Google Suite (or similar programs)

-Ability to manage multiple tasks simultaneously and accomplish work by given deadlines and within tight schedules

-Excellent written and verbal communication skills

-Working knowledge of office management systems and practices

-Works well in a team environment and as well as alone

-Has basic to advanced knowledge of QuickBooks

-Prep and send out invoices to customers

-Prompt and timely

-Able to maintain a high standard for time management

-On the fly problem solving skills

-Attention to details and accuracy

-Willing and able to adapt with our growing company

-Able to work Monday - Friday 8AM to 5PM
