Advanced Assembly Inc., located in University Research Park on the west side of Madison, is adding a Training Administrative Assistant to our well-trained and experienced staff. This position provides general office support including a variety of clerical activities and related tasks to the Quality/Document Control/Training department. Provides general administrative and clerical support to the Quality/Document Control/Training department.

Answers incoming calls, screens and directs calls, and forwards callers into voicemail when employee(s) are unavailable

Greets and directs visitors to the company and tenants, ensures visitors sign-in, and issues safety and ESD gear as needed.

Ensures all training records are processed in an accurate and timely manner and in accordance with ISO standards and departmental work instructions.

Performs receiving, stocking, and distribution of office supplies. Responsible for maintaining stock of supplies.

Receives, sorts and forwards incoming mail.

Organizes the meeting schedule for conference room(s).

Maintains a neat, friendly, and professional atmosphere at the front desk.

Maintains level of confidentiality as needed.

Maintains employee files for new and terminated employees.

Processes and updates employee training files in an accurate manner.

Updates training spreadsheet and creates training records and certificates.

Assists with other related clerical duties such as data entry, scanning, photocopying, mailing, faxing, filing and collating.

Performs other job-related duties as assigned by supervisor or manager.Requirements:

High school diploma or GED equivalent.

Ability to read, speak and understand both verbal and written instructions in the English language.

1-2 years of experience in a similar type of role with knowledge in administrative or clerical procedures.

Strong knowledge in Microsoft programs including Word, Excel and Outlook.

Data entry skills and the ability to operate a multi-line phone system.

Ability to maintain quality and safety standards and handle confidential information.

Ability to be self-directed, highly motivated and work independently, but also work well as part of a team.

Must have effective communication skills (both verbal and written).

Must have good record keeping and organizational skills.

Proven record of dependability (good attendance) with a good work ethic.

Ability to keep a calm and professional demeanor while communicating with staff and visitors.Physical requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, some standing/bending is required.
