Project Coordinator

Our growing property management company is looking for an ambitious Project Coordinator to join the team. The Project Coordinator will be the administrative coordinator between the management company and third-party vendors/companies to help maintain and upgrade properties. They are to administer and organize all types of projects, from simple maintenance activities to more complex remodel plans. Responsibilities include working closely with our Operations Manager to develop action plans, including resources, timeframes, and track budgets for projects. You will perform various coordinating tasks, like schedule management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with staff and third-party vendors to deliver results on deadlines. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed. Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget and are inspected to meet quality standards. We are looking to fill a full time, Monday-Friday position, however we may be willing to work out part time hours for the right individual. QuickBooks and experience in the field is valued, but not necessary as we are willing to train if you have computer skills and are a quick learner. Must be a self-motivated individual who believes “teamwork makes the dream work”!

Responsibilities

Follow office workflow procedures to ensure maximum efficiency

Handle coordination of all maintenance requests and verify proper completion

Coordinates move out vendors for all properties as needed

Maintain and negotiate vendor contracts as well as relationship management

Maintain files and records with effective filing systems

Monitor expenditures and handle contracts

Deal with customer complaints or issues

Coordinate project management activities, resources, equipment and information

Break projects into doable actions and set timeframes

Assign tasks to internal teams and assist with schedule management

Make sure that clients’ needs are met as projects evolve

Act as the point of contact and communicate project status to all participants

Work with the Operations Manager to eliminate blockers

Work with Operations Manager to develop procedures related to area

Create and maintain comprehensive project documentation, plans and reports

Organize and coordinate necessary meetings for project completions

Ensure standards and requirements are met by scheduling quality and completion inspections

Assist Operations Manager in other tasks as needed

Skills

Proven experience as office/project coordinator or similar role

Outstanding knowledge of MS Office and Quickbooks software

Working knowledge of office equipment

Excellent communication and interpersonal skills

Organized with the ability to prioritize and multi-task

Reliable with patience and professionalism

Ability to multi-task IN FAST PACE ENVIRONMENT

Projection of a professional image by following dress code and appearance standards

Exceptional skills in conflict resolution

Strong customer service background and skills

ORGANIZED AND BE ABLE TO MANAGE AND PRIORITIZE WORKLOAD

Experience with Appfolio, Yardi or other property management software is a Plus.

Reliable transportation

Excellent telephone skills

HAVE A POSTIVE OUTGOING, ENTHUSIASTIC PERSONALITY
