The Receptionist/Marketing & Communications Program Assistant plays a key role in assisting agency staff in delivering high quality products and services and ensuring all guests have a great experience while at CESA 6. In addition, the position will be responsible for supporting strategies that increase the agency’s visibility to diverse audiences, expanding digital information sharing capacity, and strengthening internal marketing, sales and communication systems. The Receptionist/Marketing & Communications Program Assistant reports to the Operations Manager while also taking direction from the agency’s Director of Communication in order to provide administrative and technical support to the agency’s Communications and Design Center.

ESSENTIAL FUNCTIONS:

  • Maintain the agency’s CRM (customer relationship management) tool and serve as the point of contact for agency staff on its utilization.
  • Maintain the agency’s event registration software and associated app and serve as the point of contact for agency staff on its utilization.
  • Maintain the agency’s email campaign software and serve as the point of contact for the agency on its utilization.
  • Assist with the administration of the agency’s webinar platform and serve as the point of contact for the setup and utilization for agency staff.
  • Operate the agency’s telephone switchboard to answer, screen or forward calls, providing information, taking messages or scheduling appointments.
  • Greet persons entering the agency, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Provide individuals with information about the agency, such as products and services offered, contacts within the agency, or professional development offerings and locations.
  • Inventory, organize and ensure an adequate supply of food and beverage items and supplies are on hand and requisition additional items when needed.
  • Arrange for catered meals for on and offsite events and monitor onsite catered events including clean up.
  • Maintain agency internal digital signage to ensure wayfinding.
  • Assist in writing, preparing or editing organizational publications, such as employee newsletters, department newsletters or digital email marketing campaigns, for internal or external audiences.
  • Assist with maintaining the agency’s website, including the staff directory and intranet.
  • Assist with monitoring website, e-marketing and social media metrics.
  • Maintain the CESA 6 membership directory.
  • Assist with data entry in the Communication & Graphic Design Center’s project management software.
  • Ensure branding and style compliance, and represent communication guidelines across all materials.
  • Inventory, organize and ensure an adequate supply of agency provided marketing materials are on hand.
  • Schedule appointments and maintain and update appointment calendars for the agency’s customer advocate.
  • Assist agency departments in the procurement of marketing materials including trade show materials.
  • Assist information technology with the maintenance of email distribution groups.
  • Hear and resolve complaints from customers or the public.
  • Collect, sort, distribute, or prepare mail, messages or courier deliveries.
  • Process, proof and prepare memos, correspondence, travel vouchers or other documents and transmit information or documents to customers or staff members, using computer, mail or facsimile machine.
  • Perform other duties as assigned.

Experience, Education and/or Licensure:The individual hired for this position will possess a High school diploma required. Post-secondary degree in communications, marketing, or a related field desired. One to two years of experience working as a marketing, sales or communications professional for a non-profit, for-profit, or government agency; or related professional experience desired. Customer facing office experience desired. Experience with website content management software, social media platforms and email marketing software like MailChimp or Constant Contact is preferred. Experience with Adobe Creative Suite; presentation design and visual communications collateral creation is desired.

  • Work as a team and collaborate effectively with the Communication and Graphic Design Center, agency Customer Advocate and other Program Assistants and Coordinators.

While performing the duties of this position, the employee is occasionally required to stand, walk and sit, as well as use hands and arms to handle, feel or reach. Specific vision abilities required by this job include close, distance and peripheral vision with depth perception and an ability to adjust focus. The employee is regularly required to communicate effectively, in person as well as via phone and through writing. This position may occasionally lift or move office products and supplies, up to 20 lbs.
