GENERAL DESCRIPTION:

The Wyoming Department of Transportation is seeking a full time Office Support Specialist for the Emergency Communications Program in Cheyenne. This position is responsible for program fiscal budgeting, fiscal tracking & control, procurement, office administration, inter/intra agency coordination, and communication for statewide communications shops.

Cheyenne is a steadily growing community along the Front Range but still true to the history of the Old West. The city offers nearby access to mountain biking, skiing, hiking, fishing, hunting, and other outdoor activities. Wyoming is one of only seven states with no state income tax.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.

  • Gathers, compiles, and edits the training and travel budget based on reviews and approvals from the Program and Executive Staff

  • Disseminates approved budget information to those with line items or projects for follow-up during the fiscal year

  • Inputs budget items into ERP

  • Assists Program employees in understanding and applying budgeted accounts and goals throughout the fiscal year

  • Provides feedback to personnel to improve future use and compliance of the WYDOT accounting system

  • Builds financial item/project files for requisition/purchase order processes

  • Responsible for day-to-day check of direct bill charges/invoices before submitting to Accounts Payable, including tracking and filing

  • Checks voucher reports solicited monthly from the Budget Office in order to review and investigate any irregularities and correct any financial errors to or from the Program

  • Makes purchases approved by the manager/system supervisors, process the program office purchasing card monthly charges for Cheyenne and program district shops without their own card

  • Maintains office supply inventory and makes warehouse requisitions for restocking needs

  • Mails output/receiving/distribution

  • Assists technicians with out of state training and travel assistance

  • Assists with large meeting logistics, agendas, and invitations

  • Assists the Emergency Communications Program in the interview process

  • Administers cellular device requests and billing changes for Emergency Communications, Executive Staff and smaller programs throughout WYDOT via the ETS Service Request

Qualifications

KNOWLEDGE:

  • Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the department.

  • Knowledge of the principles and procedures of financial record keeping and reporting, basic accounts payable, and purchasing.

  • Knowledge of the principles and practices of employee supervision, training, and evaluation.

  • Knowledge of techniques for providing a high level of customer service.

  • Experience in inventory/data tracking

  • Ability to multitask, be proactive and self-motivated

  • Understanding of electrical power tower construction

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work, however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • Special physical demands are not required to perform the work.
