JOB TITLE: Benefits Coordinator/ HR Assistant

DEPARTMENT: Human Resources

REPORTS TO: Human Resources Officer

JOB SUMMARY

The Benefits Coordinator is responsible for the administration of Cody Regional Health’s benefits program to include, but is not limited to, the hospitals pension plans (Money Purchase and 457 plans), health/dental/vision insurance plans, life insurance plans, supplemental insurance offerings and other benefits as appropriate. The HR Assistant supports the Human Resources Officer, Recruiter, the HR Coordinator and Employee Health.

JOB REQUIREMENTS

Associates degree or equivalent experience in the area of employee benefits preferred.

EXPERIENCE

  • Customer service experience
  • Extensive experience in the area of employee benefits to include pension/retirement, health/vision/dental insurance, life and disability plans as well as any other benefits not mentioned above (i.e. Aflac, MASA).
  • Prefer two or more years of experience working in benefits.

SKILLS

  • Must be able to maintain confidentiality of all matters.
  • Must have ability to communicate with staff and public in a friendly, courteous and helpful manner.
  • Must have a high degree of organizational skills with the ability to multi-task.
  • Strong verbal and grammatical competence.
  • Strong computer and keyboarding skills.
  • Must have strong Office Suite products knowledge including Word, Excel and Outlook, and the ability to use them.
  • Must have critical thinking skills.
  • Customer Service skills are necessary.
  • Accurate and systematical filing skills.
  • Detail oriented.
  • Exceptional phone etiquette.

ESSENTIAL FUNCTIONS

HEALTH / LIFE/ SUPPLEMENTAL INSURANCE/ OTHER BENEFITS:

  • Prepare and provide initial enrollment packets to employees.
  • Serve as a resource for employees to include: Participation, enrollment, plan document interpretation, assisting employees with claim processing issues, I.D. Cards, questions, etc.
  • Serve as a liaison between the third party administrator, company representatives, the employee and CRH for reports, questions, etc.
  • Timely maintain enrollment information for all plans in employee files and Administrator sites including but not limited to: Beneficiary information, name updates, current address, deduction and plan changes, and termination of employment in all plans they are enrolled in.
  • Must have comprehensive knowledge base of plan document(s).
  • Maintain benefit information on employee portal.
  • Reconcile monthly the health insurance plans and life insurance/disability plans to payroll withholdings.
  • Is responsible for ACA (Affordable Care Act) compliance and timely reporting meeting IRS guidelines.
  • Schedule annual Health Fair Labs coordinating with the Lab and communicate to all employees all pertinent information.

PENSION PLAN:

Facilitate employee participation in the 457 and Money Purchase Pension Plans:

  • In conjunction with the HR Officer and the pension plan vendor, assist in the preparation of summary plan documents to include the initial adoption of the plan and ongoing amendments to the plan per IRS guidelines.
  • Will be the primary contact for employees for initial enrollment in the plan as well as coordinating the annual open enrollment process.
  • Maintain accurate files on benefit plan regarding plan descriptions, contracts, amendments and other benefit related documents.
  • Coordination of annual review and approval of the pension plan, proposed enhancements or modifications to existing plans as well as recommendations to the Benefits Committee and HR Officer.
  • Stay current on various IRS guidelines, industry trends and pertinent information regarding pension plans as a means to enhance the existing pension programs at CRH.
  • Serve as a resource for employees regarding pension plan participation.
  • Serve as a liaison between the pension plan vendor, local representative, pension plan vendor, the CRH attorney and CRH for reports, questions, etc.
  • Timely maintain enrollment information in the employee files and Pension plan website including, but not limited to: Beneficiary information, name updates, current address, contribution changes, and termination of employment in the plan.
  • Resource for employees to setup of their online account, as well as guide and assist employees to make online changes to their benefit plan.
  • Must have comprehensive knowledge base of various plans and summary plan documents.
  • Maintain benefit information on employee portal.

SECONDARY FUNCTIONS

  • Maintain a checklist for the return of new employees benefit enrollment forms as well as a checklist for the return of benefit enrollment forms during annual open enrollment.
  • Chair the Benefits Committee
  • Manage museum passes and keep updated schedule of employees checking them in and out.
  • Enthusiastically promote CRH benefits to employees and pro-actively seek ideas to expand employee benefits.
  • Ensure timely and systematical filing of benefits enrollment paperwork in employee files.
  • Serve as a resource to employees for interpretation of policies and procedures.
  • Perform other duties as requested by the HRO.

HR ASSISTANT:

  • Support HRO as requested with tasks including but not limited to:

    • Employee Satisfaction Surveys.
    • Assist with generation of committee minutes.
  • Secondary backup to Recruiter with tasks including but not limited to:

    • Screening and routing new applicants to appropriate Hiring Officers.
    • Behavioral Assessment initiation and tracking.
    • Application related correspondence.
    • Reference initiation and tracking.
    • Onboarding document assignment and tracking.
    • Initiation of Background screening.
    • Work with HRO in Recruiter’s/HR Coordinator’s absence to determine salary/wage quotes.
    • Answer candidate questions.
  • Assist Recruiter with requests for vaccine exemptions including post offer calls, sending out mandatory forms and policies, and receiving completed exemptions to submit for review.
  • Assist HR Coordinator as a backup and assistant as needed including but not limited to:

    • Setup of new employee HR files.
    • Backup as assisting HRO with CRH events, etc.
    • Assist with Living the Mission as needed.
    • Act as a backup to Recruitment and HR Coordinator to track and verify certifications/licensures.
    • Act as a backup in HR Coordinator absence to provide verbal verifications of employment to employers and lending institutions, DFS, etc. per established procedures.
    • Assist with Planetree coordination as needed.
  • Act as a backup to Employee Health for FMLA.
  • Assist with New Employee Orientation.
  • Order office supplies for department.
  • Participate in mail pick up and distribution, both internal and external, for HR department.
