GENERAL DESCRIPTION:

Are you passionate about serving people? Join an Agency whose purpose is to help families succeed every day! This front-line position is critical in the day-to-day operations of the Agency. This position will provide administrative support to the Department and will need an effective working relationship with Department employees, constituents, and other agencies. This position also requires a strong understanding of confidentiality. This position will supervise other employees.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
  • Provide supervision of six field staff throughout five different field offices.

  • Access multiple databases to provide customer service or look up information for Ombudsman and Division Administrators.

  • Handle all incoming calls, taking accurate and complete messages, and direct the caller to an appropriate party.

  • Attend, take accurate and complete minutes, and prepare necessary records and/or documents for meetings.

  • Make all necessary travel arrangements for executive staff.

  • Create, submit and track fiscal documentation for the Services Unit, including travel and expense vouchers.

  • Coordinate a variety of advanced, diversified, and confidential administrative support functions.

  • Record Management Systems (RMS) archiving.

  • Data entry and verification.

  • Purchase and distribute all office supplies for Services Unit and manage purchasing card.

  • Use WOLFS Accounting System to process travel reimbursement and pay for agency supplies.

  • Review and edit Department documents for content, grammar, spelling, and format consistency.

Qualifications

PREFERENCES:

Preference may be given to detail-oriented applicants, multitask capable, organized, able to prioritize and meet or exceed deadlines.

Good communication both orally and written; ability to work independently and maintain confidentiality is preferred.

Must possess outstanding customer service and interpersonal skills.

Proofreading and editing experience preferred.

This is a supervisory position. Previous supervisory experience would be ideal.

KNOWLEDGE:

  • Ability to use computers, fax machines,s, and copiers.

  • Knowledge and experience in applicable computer applications- Microsoft Office Suite.

  • Knowledge of records processing and maintenance procedures and systems.

  • Knowledge and strength in the preparation of complicated documents.

  • Knowledge and understanding of the agency and each respective division/program.

  • Strength in customer service and communication skills.

  • Knowledge of basic Information Technology functions and vocabulary.

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • Special physical demands are not required to perform the work.

NOTES:

  • FLSA: Non-exempt

  • All positions within the Department of Family Services will require a background check, including the taking of fingerprints, which will be completed through the Wyoming Department of Criminal Investigation, the Department of Family Services, and the Federal Bureau of Investigation for every successful applicant.
