  • JOB SUMMARY

    • The Executive Assistant works under the direction of the Chief Financial Officer and the Chief Nursing Officer and performs personal assistant, secretarial and clerical duties required in order to maintain an efficient administrative office for CCH. Performs all duties with a high level of professionalism. Participates in achieving the department’s goal in meeting CCH’S mission, vision and values.

  • PRIMARY JOB DUTIES

    • Performs executive level clerical and administrative support responsibilities.

    • Performs a variety of highly responsible, complex, and confidential administrative support functions involving the use of independent judgment and personal initiative.

    • Provides full administrative support for the Chief Financial Officer and/or Chief Nursing Officer.

    • Must be extremely detail-oriented and possess outstanding administrative and organizational skills, professional telephone skills and a strong customer service mindset and style.

    • Must be able to apply critical judgment in dealing with a variety of situations and people.

    • Understands the organization and operation of the department to assume assigned tasks and responsibilities.

    • Works well in a collaborative team effort. Will take the initiative to manage changing priorities. Works under pressure and possesses skills to manage an extensive workload.

    • Maintains confidentiality and exercises solid judgment. Has the ability to communicate with people at all levels using courtesy and discretion.

    • Works independently and manages workload with minimal supervision and with a positive attitude.

    • Willing to work extended hours to complete tasks, adhere to deadlines and when requested to do so by the administrative team.

    • Serves as a resource for CCH department managers and supervisors.

    • Organizes internal/external meetings; coordinates materials for meetings and presentations. Records, transcribes and distributes meeting minutes. Possesses skills necessary to type, proofread and edit documents and other materials for grammar, clarity, punctuation and spelling.

    • Coordinate travel arrangements as required.

    • Encourages cost savings for the department and organization.

    • Models excellent customer service as first impression of the department.

    • Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.

    • Must be free from governmental sanctions involving health care and/or financial practices.

    • Performs other duties as assigned.

    • Provides Support to the Finance Committee by working with the CFO and the Controller to coordinate and complete administrative activities and assists the Chief Financial Officer with as many job related projects as possible.

    • Provide Support to the Nursing Leadership and House Supervisors by working with the CNO to coordinate and complete administrative activities and assist the CNO with as many job related projects as possible.

    • Serves as communication link between CFO and/or CNO, Board, Management, Medical Staff, Legal Counsel, Hospital Staff and public.

    • Coordinates the development, revision, and distribution of policies and procedures for many departments within CCH and, is a superuser of the Policy Management database. As a PM superuser, provide training and support to other staff working with the program.

    • Reviews the appropriate department managers’ time and attendance in the KRONOS System for accuracy for the Chief Financial Officer and the Chief Nursing Officer.

    • Coordinates CFO and CNO Meetings and Committees, ensuring required documents and presentations are prepared and available by the designated due date.

    • Create reports, spreadsheets, power points, and graphs upon request for CNO and CFO

    • Coordinates Policy review for the organization.

  • JOB SPECIFICATIONS

    • Education: High school graduate

    • Licensure: None.

    • Experience: Minimum of three years of executive level secretarial experience. Superior computer skills, including extensive knowledge of and experience using MS Office software (Word, Excel, PowerPoint and Outlook). Knowledge of medical terminology preferred.

    • Essential Technical/Motor Skills: Displays effective ability to type 60 wpm with minimal errors. Possesses excellent writing, grammar and communication skills. Must be able to operate computer, printer, FAX machine, adding machine, telephone system, typewriter and copy machine. Requires hand/eye coordination, legible handwriting, able to speak clearly, fine and gross dexterity.

    • Interpersonal Skills: Must relate well with patients, families, hospital staff, physicians, outside agencies and public. Must be able to apply strong judgment in dealing with a variety of situations and people.

    • Essential Physical Requirements: Sitting for long periods of time. Requires lifting, carrying of supplies, typing, speaking coherently on the telephone.

    • Essential Mental Abilities: Able to comprehend technical medical terminology. Able to input orders, obtain patient information in computer. Able to think quickly, handle various projects simultaneously with attention to accuracy, prioritization, patient request, detail, memory, problem solving, reasoning, ability to memorize routine assignments, computer mnemonics, all with little or no supervision.

    • Essential Sensory Requirements: Corrected vision, hearing to normal range.

    • Exposure to Hazards: OSHA CATEGORY III. Identified job duties do not have any anticipation for contact with blood, contaminated body fluids or tissues.

    • Hours of Work: Normal business hours Monday through Friday; occasional evenings and weekends.
