Practice Group Project Specialist

General Purpose: The Practice Group Project Specialist is responsible for collaborating with cross-functional teams to lead the implementation and efficient execution of specified initiatives in the practice group; liaise with clients; and provide advanced legal and administrative support to attorneys, paralegals and other colleagues.

Essential Duties/Responsibilities:

Project Support:

  • Support the practice to meet project goals and objectives, on time, to specifications, and with accuracy and efficiency.
  • Plan, direct, and coordinate project activities to ensure deadlines are consistently and accurately met.
  • Promote collaboration and coordination across broad categories of stakeholders, including attorneys, clients and peers.
  • Monitor and communicate project progress continuously and provide detailed scheduled reports on measurable items, such as milestones and deliverables.
  • Develop and maintain comprehensive project plans that encompass the various tasks and deliverables across project phases, from initial planning through deployment. Ensure the deliverables are assigned and executed.
  • Implement and utilize project management standards and experience to projects.
  • Serve as liaison and team representative; attends client events as requested, completes client alerts/newsletters.
  • Conducts risk assessments; reports identified risks to management; provides recommendations for mitigation of risk.
  • Outlines the tasks involved in the project and delegates accordingly.
  • Meets annual, billable work requirement, which may vary by project or assignment.

Administrative Support:

  • Prepare, revise and format legal documents and correspondence using various software applications and according to instructions; proofread documents/correspondence for content, spelling, grammar, language usage and punctuation and put into final form.
  • Prepare documents and applicable fees for electronic filing as needed and according to instructions. E-file documents with federal and state courts and other agencies.
  • Maintain and manage attorney/paralegal calendars – docket court deadlines, conferences, teleconferences, depositions, other meetings as requested.
  • Effectively schedule and manage travel arrangements and meetings/depositions, arranging for conference rooms and related logistics.
  • Assist with billing processes and invoices as requested.
  • Assist as needed with all projects, overflow work, administrative work and other duties as required to support and aid in the workloads of practice group
  • Meet professional obligations through efficient work habits, such as meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner.
  • Provide general administrative support as requested.
  • Assist with special projects and other duties as assigned.

Job Qualifications (Education, Experience and Certification):

  • Bachelor's degree from four-year college or university or high school diploma with 2 additional years of work experience in a similar capacity at a similar level.
  • Minimum 2 years’ experience in a professional services office.
  • 2-3 years’ experience in a Project Support role, preferred.
  • Project management certification (PMP) or comparable project management certifications preferred
  • Knowledge of corporate and tax practice preferred
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to influence others and ensure deliverables are met, without formal authority over others.
  • Thorough understanding of or the ability to quickly learn about the project or product being developed.
  • Strong knowledge of iManage, LegalKey, InTapp, Chrome River and Expert Time, CompuLaw, or similar software.
  • Proficient with Microsoft Office Suite or related software.

Physical Requirements: While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.
