Job Title: Operations Supervisor, NOLS Custom Education

Reports to: Business Operations Manager, NOLS Custom Education

Job Objective: The Operations Supervisor works closely with the Business Operations Manager, Custom Education staff, and other NOLS locations and working groups to coordinate all aspects of NOLS Custom Education courses. Accomplishing this includes supervising three NOLS Custom Education Operations Coordinators and the NOLS Custom Education Administrative Assistant, while working with the NOLS Custom Education Account Managers and coordinating course logistics with NOLS locations around the world, to create unique educational opportunities for students at both NOLS locations and remote sites.

Qualifications: The Operations Supervisor must possess the ability to work independently, organize and prioritize among multiple duties, plan effectively for both short- and long-term projects, and evaluate and satisfy course logistical needs. The successful candidate will have the ability to effectively communicate with both internal and external audiences via phone, email, and in person. This candidate should have experience understanding and working with organizational policy and procedure, which will lead to the ability to thoughtfully evaluate multiple scenarios to facilitate decisions beneficial for both NOLS and the client. Project management and previous supervisory experience is desired.

Leadership or Supervisory Duties: The Operations Supervisor supervises three NOLS Custom Education Operations Coordinators and the NOLS Custom Education Administrative Assistant. In addition, the Operations Supervisor serves as a primary contact point between NOLS Custom Education and school locations and other NOLS departments/pillars; they must establish and maintain positive working relationships across the school. The Operations Supervisor is responsible for managing staff capacity and may need to hire additional temporary or full-time operations staff based on department needs.

Funds and/or Property: Makes financial decisions for NOLS Custom Education courses including staff travel and lodging, negotiating with vendors, and purchasing course supplies. NOLS Credit card holder.

Responsibilities:

40% Manage NOLS Custom Education operations team by hiring, training, and supervising three Operations Coordinators and an Administrative Assistant. This includes maintaining a big picture view of the operations team’s annual workload, and working with the Business Operations Manager to improve department systems. This may include hiring and training additional temporary or full-time staff based on department needs.

20% Coordinate course operations and anticipating logistical needs for NOLS Custom Education courses including: assess and obtain necessary resources to support remote courses and work with NOLS location logistics managers to prepare for dietary, equipment, and transportation needs. This will also include administering course paperwork and the online admissions platform, arranging instructor travel,and reviewing medical information for specific clients throughout the year.

20% Manage and improve systems that relate to NOLS policies and procedures. This includes having or developing a working knowledge of both NOLS Headquarters’ and NOLS locations’ best practices, an understanding of NOLS administrative and financial policies, and acting as a resource regarding this information.

15% Provide coverage for other NOLS Custom Education team members by answering phones and emails, managing financial tasks, keeping clients updated, and working with students to complete enrollment paperwork.

5% Other projects as assigned.

Depending upon the person hired, there may be an opportunity to integrate a field or classroom teaching component in the range of 2-4 weeks per year into this position.
