Provides Administrative Management and support to assigned responsibilities within the Administration & Donor Relations Division of the UW Foundation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Administratively Manage all incoming gift documentation (legal agreements, checks, cash) to the UW Foundation to meet all audit control processes as well as dissemination of completed documents. This includes the ability to competently scan and batch documents into electronic filing systems and various programs.

  • Post daily updates to the ADVANCE Database System

  • Participate in various Donor Stewardship Activities such as special mailings, events, and reports

  • Functional supervision of student employees

  • Provide senior level administrative support as requested for management positions within the UW Foundation.

  • Staff the third floor desk which is the entry point to the UW Foundation offices on that level
  • Manage the inventory and stocking of entertainment needs (beverages, water, etc.) for the meeting spaces and conference rooms of the Foundation.

  • Manage all incoming and outgoing mailings and shipments for the division.

    SUPPLEMENTAL FUNCTIONS:

  • Maintain confidentiality.

  • Meet demanding and conflicting deadlines, prioritizing responsibilities.

  • Cross train and serve as backup to the administrative position at the Simpson Welcome Center.

  • Must obtain TIPS Certification

  • Must hold a valid driver's license

MINIMUM QUALIFICATIONS:

Education: Bachelor’s degree in a business-related field (Business Management, Accounting, Finance, Marketing, etc)

Experience: At least 1 year work-related experience

or an equivalent combination of education and work experience related to banking, accounting, office support, administrative support, project management, non profit work, higher education

  • Proficient in Microsoft Office (Excel, Word,Outlook)
  • Experience with databases or data entry
  • Excellent customer service skills
  • Ability to stay on task with limited supervision
  • Competency and ability to learn new software programs and processes
  • Experience with basic accounting skills
  • Ability to apply professional judgment to varied requests for assistance with assigned work load and respond accordingly to stay on task on a daily basis
  • Exceptional attention to detail including with daily tasks that are repetitive and of an accounting nature

  • Ability to work outside of a traditional 40 hour work week when required
  • Excellent verbal, written, and interpersonal communication skills
  • Valid driver's license with a motor vehicle record (MVR) that is compliant with the University Official Vehicle Policy found at: https://www.uwyo.edu/risk/files/docs/offical-vehicle-policy.pdf

DESIRED QUALIFICATIONS:

  • Professional experience with electronic filing systems

  • Professional experience in a non profit setting
  • 2 or more years experience in a senior level administrative support role
  • Professional experience in positions where project management skills were applied
  • Professional experience in positions where accounting and senior level administrative support skill sets were utilized
