Job Description SummaryEXPECTATIONS AND NATURE OF THE POSITION

The primary responsibility of the Recruiter is to recruit students and be an enthusiastic and knowledgeable representative of Western Wyoming Community College at in person recruiting events and have a strong presence of Western’s offerings in our service area and beyond. This person will provide admissions counseling to prospects/applicants of all ages and backgrounds. Extensive travel will be required to support enrollment management activities. This person will have well-developed communication and writing skills and strong presentation skills. This person will work with the Admissions and Enrollment Management team, Marketing and Academic Leadership in the development and execution of various recruitment methods, marketing initiatives and utilization of recruitment software. This person will work with various customer relations management systems (CRM), student information systems (SIS), and student planning systems and be knowledgeable of the functionalities, trainings, recruitment tactics, opportunities, and automation of those systems. This individual must be able to work in both a collaborative team environment, as well as independently on jobs and assignments.

The College expects this individual to accomplish assigned duties in an efficient, effective and competent manner and to strive for improvement and excellence in all work performed. Additionally, this individual must understand the comprehensive role of the community college and cooperate and work harmoniously with college personnel and the public. This individual will follow all college policies, rules, regulations, and guidelines as they relate to this position. This person will share duties such as answering the telephone, answering admissions emails, setting up campus visits and appointments, maintaining the Admissions appointment calendar, working with high schools to provide lists of students, keeping track of data from all inquiries, and assisting the Admissions staff in Mustang Central. This person will also oversee the Student Ambassadors.

PRIMARY DUTIES AND RESPONSIBILITIES FOR WHICH THIS INDIVIDUAL IS ACCOUNTABLE

1. Represents the College in a positive, professional and articulate manner at all times.

2. Participates in traveling recruitment. Schedules and conducts visits to high schools both in person and virtual. Assures that recruitment efforts are aligned with the goals of the department, and are within current recruitment trends. Recruitment and travel may include, but is not limited to, areas in Wyoming, Utah, Montana, Idaho, and Colorado. National and International recruitment may occur as well.

3. Utilizes information from EMSI-Career Coach to make targeted recruitment campaigns during high school visits.

4. Participates in in-person recruitment events that are scheduled. Works with high school counselors to coordinate recruitment visits in order to meet the needs of their students.

5. Develops and maintains strong professional relationships with key recruitment stakeholders such as community groups, non-governmental organizations (NGO), school counselors and parent groups.

6. Utilizes CRM software to run targeted campaigns for a wide variety of prospective students.

7. Understands and presents the concept of a comprehensive community college, including those aspects of general education, vocational/technical training and other programs related to the effective recruitment of students. Maintains a current and complete knowledge of Western courses and programs and how and when to make referrals with accurate and timely information.

8. Takes primary responsibility for providing “one-stop” personalized admissions counseling to prospective students and their families within the concept of institutional “fit” for the student in terms of academic programs, support services, extracurricular activities, and overall comfort with Western’s environment.

9. Develops a personal workflow within the CRM and SIS systems and works with the Admissions team and Marketing Department to develop a strategic, automated, yearly communication plan. Assures that all correspondence is sent in the appropriate format and in accordance with established communication plans and timelines.

10. Works with the Financial Aid Department to ensure dissemination of information and opportunities for awarding scholarships to prospective students occurs while recruiting at high schools, college fairs, or other recruitment events/activities.

11. Participates in cross-training of all admissions processes and assists with responsibilities in the absence of other admissions staff.

12. Assists in oversight of the coordination and execution of individual and group tours on campus.

13. Maintains an updated and accurate compilation of prospective student names in the CRM system and provides interested faculty with current names and addresses of prospects in their discipline.

14. Partners with the Director of Marketing in maintaining the organization of Admissions printed materials and giveaways on a regular basis.

15. Follows-up with leads, prospects, and applicants by telephone calls, electronic communication, or written correspondence in order to advance applicants to an accepted admission status.

16. Trains schedules and advises the Student Ambassador Program.

17. Participates in marketing efforts to reach students who are taking courses from Western as high school concurrent students and encourages them to consider Western as a viable option after their high school program is complete. Also participates in marketing efforts targeted to non-traditional, part-time, and underrepresented students.

18. Participates in other recruitment activities/events such as career fairs, conferences, community events and other college presentations as assigned to the department. Some of these other recruitment activities/events may be outside of the traditional workday hours.

19. Provides written reports to include activities, student contacts and goals as required.

20. Understands and forwards Western’s overall strategic plan.

Other Duties

1. Maintains an inventory of all assigned equipment and supplies; takes prudent efforts to safeguard Western physical resources from unauthorized use.

2. Operates within the professional confines of established Western policies and procedures.

3. Participates in the College’s on-going Assessment Program to develop a more effective, creative and efficient learning environment for all Western students, especially as they enter the institution.

4. Participates in Mustang Central staff meetings and joint projects as needed.

5. Maintains safe working conditions at all times.

6. Keeps abreast of professional development by attending conferences, seminars, or taking classes.

7. Understands the budgeting and requisition process of the college. Assists with preparing annual and biennial budgets as requested; understands and is able to use the purchase requisitions process.

8. Performs other duties as assigned.

Speech and hearing to communicate effectively in group settings and by telephone to students, faculty, staff, and others.

Prolonged driving and travel across Western’s service area, including winter travel.

While performing the duties of this position, the employee regularly works in an office environment and classroom/lab conditions occasionally; may provide training at an employer’s work site. The noise level in the work environment is usually low to moderate. Employee will be required to travel.

Minimum QualificationsMINIMUM QUALIFICATIONS (Knowledge, Abilities, Education and Experience)

1. A bachelor’s degree in business, marketing, communication or a closely related field from an accredited institution.

2. Ability to design and deploy strategic recruitment and marketing campaigns.

3. Ability to effectively relate to people of diverse ages and backgrounds.

4. Strong presentation, public speaking and interpersonal communication skills.

5. Basic knowledge of the principles and practices of marketing and recruiting.

6. Ability to obtain and maintain a Wyoming class “C” driver’s license. Obtain and maintain coverage as a driver under the College’s automobile insurance carrier.

7. Ability to frequently lift up to 50 pounds.

Equivalency Statement

For those candidates who do not exactly meet all minimum qualifications, an equivalent combination of education and experience, which has provided comparable knowledge and abilities, may be accepted.

1. Previous work experience in a community college Admissions/Recruitment Office.

2. Proficiency with a variety of software programs including web-based design, word processing, database, and Microsoft Office Suite.

3. Experience with marketing in the public or private sector.

4. A Master’s degree in a related field.

5. Experience with Recruit and Colleague or other CRMs / SISs.
